Administrative Assistant/Receptionist

Position Duties Include:
  • Responsible for greeting clients and customer support
  • Responsible for providing administrative support to ensure efficient operation of the office
  • Answer and direct phone calls
  • Organize and schedule meetings and appointments
  • Maintain client and contact lists
  • Order office supplies and keep supply inventory
  • Responsible for mail incoming and outgoing; mail projects; postal requirements
  • Prepare deposits and post to client’s accounts
  • Update time reports and attendance records
  • Delivery to banks and other locations
  • Maintain new phone system including training on phone procedures
  • Daily upkeep of copiers and kitchen area
  • Additional duties could consist of data entry, check writing, copying/scanning, file maintenance, collating tax returns and other projects when available


Requirements:
  • Proven administrative and customer service experience and solid understanding of client relations
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Proficiency with MS Office
  • High degree of accuracy and attention to detail
  • Overtime and Saturday work will be required during tax season and possible other times
