Job Summary: The Payroll Specialist processes the bi-weekly payroll for assigned pay groups within the company. The Specialist has full accountability to ensure that required data, documentation and approvals are received prior to the processing deadline each pay period. The Specialist must process the submitted payroll for the assigned pay groups, validate the payroll output for accuracy and submit the final payroll for processing through the payroll vendor. Additionally, the Payroll Specialist provides excellent customer service to internal clients, resolves payroll problems, runs routine and customized reports, completes routine filing, and other administrative responsibilities as necessary.
Key Responsibilities:
Manages time clock system including associate setup, exemption changes, reporting and download to payroll system.
Verifies signatures/approvals of paid time as necessary.
Calculates and enters retroactive pay increases as necessary.
Enters time data for associates not included on time clock system which could include PTO and other miscellaneous pay components.
Audits accuracy of data entry using batch totals and available payroll reports.
Prepares and transmits data to payroll service by required deadlines.
Audits payroll output for errors.
Distributes paychecks and accompanying reports to associates and/or site contacts.
Answer associate questions and solve associate problems in timely and responsive manner.
Prepares manual checks when appropriate.
Prepares voided checks as needed.
Manages record retention based upon established policies.
Communicates payroll processes and procedures to managers/supervisors and holds them accountable for following each pay period.
Assists in balancing and distributing W-2's.
Works closely with payroll service to insure accurate and timely payroll processing.
Works with other members of Payroll, Human Resources and Accounting to resolve employee pay issues in a timely, accurate manner.
Performs other duties as assigned by supervisor.
Minimum (Required) Qualifications:
High School Diploma or equivalent required
One to two years prior payroll experience in a high volume environment
Basic understanding of accounting principles and payroll tax regulations
ADP Enterprise EV5 Software, ADP Reporting and E-time time clock system preferred
Experience with Microsoft Office (Word, Excel, Outlook) preferred Excellent organizational, planning and prioritization skills
Proven competency in customer service and problem resolution
Strong team player, with the ability to work cooperatively with individuals at all levels
Strong written and verbal communication skills
Ability to report to work on time as scheduled and work overtime when required
Able to work in a fast paced environment with little supervision
High School Diploma or GED required. Bachelors degree in related field or equivalent work experience preferred.
