Job Summary The University of Michigan Wolverine Pathways was established to increase the high school graduation rate, college acceptance and retention rates of academically promising scholars. The administrative assistant will provide exemplary administrative assistance in the programing and implementation of Wolverine Pathways. The administrative will also be a key asset in the continuous observation and relationship between the different sites and the University.

Responsibilities* Coordinates a variety of projects, functions and program components (e.g. meetings, in-service events, travel and accommodations, etc.) in a timely fashion. Maintains a wide variety of manual and electronic documents, files, and records (e.g. university policies, budget data, employee records, financial records, university reports, etc.), providing up-to-date information and historical reference in accordance with established administrative guidelines and legal requirements. Monitors a variety of activities on behalf of assigned Administrator (e.g. account balances, work order status, etc.) Participates in a variety of meetings, workshops, and trainings for the purpose of providing or receiving information, professional development, recording minutes, Prepares a variety of documents (e.g. correspondence, agendas, minutes, event programs, bulletins, reports, etc.) in compliance with established guidelines. Procures supplies and materials, maintaining availability of required items. Researches a variety of topics (e.g. current practices, policies, education codes, etc.) in order to provide information and recommendations and addressing a variety of administrative requirements. Responds to a variety of inquiries from internal and external parties (e.g. staff, parents, students, public agencies, etc.) in order to provide information or direction. Schedules a wide variety of activities (e.g. appointments, meetings, travel reservations/accommodations, facility usage, etc.) for administrator, and other personnel. Supports assigned administrative personnel with their functions and responsibilities. Working under limited supervision following standardized practices and methods; and leading, guiding, and coordinating others. Performs other related duties as assigned to ensure the efficient and effective functioning of the work unit. Process various travel and expense reimbursements primarily using CONCUR

Greet and direct guests, and forward inquiries to the appropriate individual; Answer telephones, take and process messages; Respond to inquiries in an effective manner and provide information as requested; Process incoming and outgoing US mail, campus mail, and periodic deliveries; Maintain inventory of office and program supplies; Maintain common areas by providing daily setup and cleanup, including unlocking/locking building entrances and maintaining building in green mode with lights off at the end of each day; Maintain various individual and building calendars: Monitor maintenance needs for the unit and communicate these needs to the appropriate individuals; Provide a wide variety of administrative support to CEO staff; Other duties as assigned:

Incumbent in this position will periodically: Assist with data entry Organize material and information for programs offered Confirm and organize logistics of unit programs Participate in meetings, taking notes when needed Assist with various other programs as assigned

Required Qualifications* Bachelor's degree in education or business related program Ability to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions Must have the ability to operate standard office equipment, including pertinent information technology and software applications; and prepare and maintain accurate records Ability to write documents following prescribed formats, and present information to others; and solve practical problems Specific knowledge-based competencies required to satisfactorily perform the functions of the job include: business telephone etiquette; strong communication skills; and office practices and procedures Experience scheduling activities, meetings, and events; gathering and collating data; and using basic, job-related equipment Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods Ability to work with diverse individuals and groups Problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines Specific ability-based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; displaying tact and courtesy; maintaining confidentiality; setting priorities; being attentive to detail; establishing and maintaining effective working relationships; working as part of a team; and working with frequent interruptions
