Administrative Assistant

This position is responsible for the clerical, organizational and all other office functions necessary to support a 501(c)(3) nonprofit public benefit organization.

QUALIFICATIONS:

The Administrative Assistant position requires a highly skilled and highly motivated self-starter.

Education: Bachelor’s degree is required.

Skill Set: Must have above average computer proficiency in a variety of software programs including, but not limited to: Microsoft Word, Microsoft Excel, ACT, data entry, and electronic communications tools: Internet, social media and email required; demonstrated organizational skills required; proven problem solving and interpersonal skills with experience providing complex, confidential administrative support in a high-profile environment with tact and diplomacy; proven ability to work with multiple deadlines and multiple priorities required; ability to work across a variety of projects;

Other requirements: flexibility, adaptability and ability to work in a changing environment required. Some evening work related to special events and meetings may be required; demonstrated interest in education. Graphic design experience is a plus.

DUTIES AND RESPONSIBILITIES:

Reporting to the organization President provides a wide range of administrative support including management of the Foundation programs, scheduling meetings, coordinating meeting logistics, researching and preparing materials, and serving as a key point of contact in a professional, courteous and helpful manner.

Prepares a wide variety of correspondence and reports; drafts memos/letters and email in response to routine questions; and will assist with responsibilities that include: collecting information for e-newsletters, scholarship recipient updates, and future alumni federation meeting coordination. Other duties consist of the following but are not limited to: filing and file systems establishment and upkeep; data entry; correspondence – all board meeting minutes, internal/external communications (letters, invitations, event schedule and calendar, etc.), emails, faxes, telephone logs, mail log (sort and dispense); foundation mailings; assist with recording maintenance of scholarship fund donations and disbursements; and develop and maintain expenditure spreadsheets. Weekly activities report to the President as required.

Salary : $14.00 to $16.00 per hour depending on experience

The administrative assistant is responsible for ensuring smooth operations within GLAAACC while upholding the organization’s mission and adhering to its set standards. This position is responsible for the clerical, organizational and all other office functions required for running a nonprofit organization.

This position requires that the individual have at least one-year of office experience and is a highly motivated self-starter, able to take direction from others; and have strong organizational, time management and good people skills. Candidate must have a high school diploma and must be either a college senior or a college graduate. DUTIES AND RESPONSIBILITIES:

The administrative assistant will provide a wide range of administrative support including management of the Chamber programs, researching and preparing materials. Receive and direct telephone calls and relay conversation and pertinent messages to staff while maintaining accuracy, clarity and confidentiality. Perform primary contact and establish rapport with board and Chamber members, sponsors and Chamber associates. Entertain and answer basic queries made by members and associates pertaining to the services provided by the organization, its mission and membership. Maintain records and keep track of the institution’s supplies and the purchases made. Assist with the planning, coordination and organization of various meetings and conferences within the department. Function as the receiver of official documents and important mail addressed to the office. Perform active participation in meetings and take down relevant notes during the process. Help design marketing for various publications and programs for various Chamber events including ads, packets and letters. Assist with taking photos at events as they occur throughout the year. Assist in maintaining communications activities including website and social media maintenance. Work on special projects as needed. Additionally, the administrative assistant must have adequate knowledge in operating various commonly used office equipment and electronic media.

Salary: $14.00 to $16.00 per hour depending on experience
