Legal Assistant I Status: Non-Exempt

Education/Training/Experience/License Required:

Associates Degree preferred; 2 years directly related work experience preferred; General office equipment; Experience with Microsoft Office software and Apple operating system; Database experience preferred; Must be able to demonstrate appropriate written, verbal, and inter-personal communication skills; Must be able to work in a fast paced environment; Multi-task various assignments given; Able to meet set job related goals, objectives and timelines in the maintaining of client correspondence and billing. Bi-lingual Spanish oral and written preferred. On-the-job training is a consideration.

1. General Office Equipment

Answer live and return recorded telephone calls; Document telephone messages and replies; Access computer to document and print all incoming faxes; utilize standard fax machine for outgoing faxes; Make copies; Operate postal meter; Track and timely request office supplies; Timely report office equipment breakdowns and needed repairs; Review telephone and fax logs for accuracy and completeness; Provide reports from database to provide information concerning case information, for example client intake and case or court status. (Performs approximately 30% of day)

2. Correspondence & Billing

Obtain client information; Data entry client information; Prepare legal correspondence, including client letters and court faxes; Obtain payments and provide refunds through merchant credit card services following the Company’s established policies, rules, and procedures; Follow established procedures for processing cash. (Performs approximately 50% of day)

3. Calendaring

Obtains case status and court extensions; Verifies court dates; Prepares faxes for new court dates and obtains court approval; Maintains hard copy of court calendar; Pulls monthly files for court appearances; Resolves calendar conflicts between court appearances; Obtains necessary documents from court our client for completeness of client file; Notifies clients of any court trial requirements. (Performs approximately 10% of day)

4. Perform Other Duties as Assigned

At all times, maintain strong and appropriate written, verbal and inter-personal skills, positive relationships with staff, management, public, and legal representatives; attend all company training to maintain company standards of excellence requirements; perform other administrative duties as assigned including handling cash and bank deposits. (Performs Approximately 10% of day)
