Office Manager

Whelan Security is looking for a talented and driven Office Manager at our Corporate Headquarters in St. Louis!

This is a hands-on position with responsibility for managing our computer hardware acquisition and email user setup, providing telephone and internet support, monitoring and establishing procedures for record keeping, ensuring the confidentiality and security of data, and working closely with members of the executive team. This position will report to the Chief Financial Officer with a dotted line reporting relationship to the Vice President of Human Resources. Specific responsibilities include:
  • Provide support to branch operating units as specifically requested
  • Develop and manage an effective record keeping system
  • Assign and supervise clerical, secretarial, and administrative tasks and responsibilities among the office staff
  • Manage lease agreements of all business machines, printers and scanners
  • Provide day to day support for telephone and internet systems (administration and answering)
  • Manage the intake and outflow of corporate mail
  • Provide administrative support to members of the executive team
  • Liaise with other groups, agencies, and organizations


Qualifications
The ideal candidate will have at least 3+ years of relevant office management, accounting or paralegal experience. A college degree (Associates or greater) in a related field is preferred although equivalent experience will be considered. Candidates must demonstrate a stable work history and pass an extensive background screening which includes, but is not limited to, criminal background checks (local, state, and federal), drug test, aptitude tests, skills assessments, interviews, past employment verification, and a personality profile (behavioral assessment).
