About this job

The Vacation Home Manager will:

Coordinate and assign work orders for repair and maintenance items to appropriate vendor; following through to completion within prescribed time frames, and carefully document the results.

Communicate and coordinate with vendors, guests and homeowners to initiate and complete repairs, maintenance items, and upgrades to provide a positive guest experience.

Respond with kindness, enthusiasm and urgency to guest questions and homeowner requests and resolve promptly and courteously. Promptly communicate when items have been addressed and confirm that the resolution meets or exceeds guest and/or homeowner expectations. Make detailed notes in house log upon completion.

Lead and resolve guest issues-requests with timely solutions while guests are occupying rentals.

Complete special projects as assigned by the Associate Manager

Provide access to vacation homes for vendors and guests.

Enter guest surveys (yellow forms) into our portal on a daily basis.

Review guest reviews that are submitted on-line and identify maintenance opportunities and task/delegate them.

Complete Guest Service calls and Warm Welcome Calls as requested daily.

Take a proactive and disciplined approach, including the creation of system work orders, to recommending improvements and repairs then communicate and coordinate with guests and homeowners to complete.

Demonstrate initiative in creating and enhancing systems that provide for greater efficiency, guest and homeowner satisfaction.

Initiate contact with guests or homeowners to communicate solution or resolution to ensure satisfaction.

Demonstrate a Fast, Flexible, Focused and Friendly approach to assignments and interaction with customers and co-workers -- key Vacation Palm Springs values.

Respond with flexibility to direction from team leaders to incorporate changing and evolving responsibilities.

Coordinate and maintain accurate records/paperwork with specific paperwork including "blue slips" promptly as items occur -- to ensure appropriate charges and credits.

Read and understand the specific terms of the guest rental agreement and homeowner client agreements regarding our working relationships with guests and homeowners.

Respond professionally and politely to requests for credits or refunds to communicate "no refunds or credits" as outlined carefully in the guests' rental agreement.

Communicate realistic expectations for guests regarding the uniqueness of renting a privately owned residence and the distinction between renting a hotel room.

On an as needed/requested basis, coordinate & confirm guest inquiries for vacation home reservations via email, phone and fax.
