Administrative Assistant The Business Entity The Global Service Provider, Cloud, Mobility and Carrier "CMC" Area serves over 2500 of Cisco's largest and most diverse set of customers in the mobility, telecommunications, cloud, gaming, and satellite verticals. The Team Cisco seeks an Administrative Professional to provide support for two Operations Directors and our Systems Engineering Director of our top Service Provider customers focused on transforming the Global Service Provider markets through innovative solutions to support the transition of Cisco's customers as they move toward next-generation as-a-service/cloud networks. Role & Responsibilities In this role, you will provide support for calendaring, travel, expenses, along with management and oversight of special projects, as needed. To perform these tasks effectively, you will be expected to become familiar with the products, people, and organizational dynamics within Cisco's Global Service Provider and Business Unit organizations. You will be expected to understand how to handle, with a great degree of independence, incoming asks for time, meetings, resources and other needs from the Directors. You will be responsible for determining when to refer matters to others, and to whom they should be referred. You will be responsible for following up to ensure proper disposition, and make sure nothing falls through the cracks. You will become a core member of the Directors' team, attending weekly staff meetings and quarterly all-hands meetings. Calendar Management: Manages Directors' calendars by prioritizing schedules and meetings. For example, may decide who gets on principal's calendar, which meetings are attended, and who can attend in his place. Meeting Planning and Organization: Assists Director in planning and organizing internal and customer meetings by taking responsibility for assembling and communicating the agenda, venue, meeting technology (WebEx, TP), catering, and all other meeting logistics. Organizes internal briefings and disseminates briefing documents to key stakeholders as needed to insure a successful outcome. Correspondence/Approvals: Supports Directors by acting as proxy for communications and approvals as authorized. Answers general questions as necessary and refers (filters) routine matters to appropriate parties and follows up to ensure proper disposition. May be required to create and deliver correspondence on behalf of the principal. Travel: Responsible for making travel arrangements for the principal. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while managing Cisco expenses. Expenses: Submits timely expense reports by following Cisco's corporate guidelines and policies. Special Projects: In addition to the general administrative duties of an Administrative Assistant, daily tasks are carried out at a higher level of complexity. This includes analytical support to assist CMC Area on special projects, researching issues, analyzing problems, determining approaches, compiling data and preparing reports. Provides assistance with creating basic PowerPoint presentations, organizational charts and Excel spreadsheets needed for tracking team and corporate deliverables as needed for the Director. Due to frequent customer and partner engagement of the Directors, this individual will interface directly with our customers and partners. Attention to detail is a must. Work is generally of a critical and confidential nature. The position requires strong attention to detail and the ability to work in a fast-paced environment and execute multiple tasks. Minimum Qualifications 6+ years' experience in an administrative environment. A minimum of one year of experience supporting a principal who was at the Director level and above. Iselin, NJ or East Coast Location AA or equivalent experience. Desired Skills Past work experience in the high-tech industry is desired. Excellent verbal and written communication skills including the ability to communicate with all levels of Executive/Senior staff and clients. Collaborative style, with excellent teamwork.
