POSITION SUMMARY:
The legal secretary is responsible for providing administrative support for the Corporate Legal Department. This position also performs a wide variety of secretarial and administrative support duties, which ensure the proper functioning of the department and enhances the productivity and effectiveness of the Corporate Legal staff.
PRIMARY RESPONSIBILITIES:
Phone Use
Answer multiple line phone, while maintaining professionalism and etiquette
Transfer calls and take and deliver accurate messages in a timely manner
Payroll Processing/Time Cards
Maintain accuracy of time card transactions for Corporate Legal Department
Print out completed time cards and distribute to departments for calculation
Obtain management approval and sends all approved time cards to Payroll
Data Entry
Enter confidential department information
Vacation/Travel Scheduling
Enter vacation requests into a database & files the paperwork
Document and coordinate travel schedules for Corporate Legal
Office Work
Deliver, file, and photocopy paperwork
Monitor incoming and outgoing faxes, route documents to the department staff
Schedule and prepare for meetings
Set up Invoices for payment
Light housekeeping duties
Other
Other miscellaneous duties that may arise or be assigned by the reporting management staff

Skills/Requirements
POSITION REQUIREMENTS:
High School diploma or equivalent
Ability to work independently and produce quality work
Strong written and verbal communication skills
Must be reliable, detail oriented, and able to multitask
Above average keyboard and 10-key skills
Knowledgeable in Microsoft Office Programs-- Word, Excel, Outlook, and PowerPoint
Must be able to lift up to 50 lbs., necessary for shipping and receiving duties
1-2+ years administrative experience is a plus
Able to work full-time during required office hours
