Job Description:

Manage the operation of group activity in the hotel as assigned by the Director of Conference Services. Serve as the primary logistical liaison between groups and all operational hotel departments.

Responsibilities:

Responsible for monitoring and revising group room blocks and pickup to maximize hotel room inventory. Communicate requirements of clients to all hotel departments through convention resumes, banquet event orders, pre -- convention meetings with clients, internal departmental meetings, and daily banquet event order meetings. Forecast banquet food and beverage revenues for respective groups within corporate standard of 5% variance Increase food and beverage revenue through upselling. Be present at the start of all functions to ensure that client is satisfied. Maintain professional appearance and attitude at all times. Professionally represent the department and the hotel by participating in and or conducting client and industry functions (site inspections, pre and post-convention meetings, WCVA and industry events, client entertaining etc.) Develop and maintain positive relationships with vendors and suppliers who provide services to the convention groups and to the hotel. Follows through to insure all meeting arrangements discussed meet specifications. After the conclusion of meeting, reviews final bill and comments with meeting planner.

Hotel Specific Essential Functions:

Plan, direct and perform Convention Service Manager functions.

Work independently, using sound judgement to resolve personnel and performance issues that arise daily.

Maintain good interpersonal relationships with co-workers, guests, community representatives, clients, vendors and others.

Prepare typed reports.

Access, input and retrieve information utilizing appropriate computer systems.

Have mobility throughout area of operations.

Negotiate with vendors, groups and outside contractors.

Have mobility on and off premises.

Work on Key Result Area (KRA) planning process.

Assist other Convention Service staff members where assistance may be needed.

Interact with Convention Service Floor Manager and staff via radio on an on-going basis.

Be a champion of guest service and interact with the planner to service needs.

Maintain continuous contact with the planner, Convention Service Managers, Floor Managers, and Banquet Managers on duty to ensure all items on agendas and function event orders are on time and as specified.

Maintain a daily report on each group describing guest experience to anticipate corrections/adjustments for the next day.

Know hotel layout, room names, capacities, and set ups.

Attend Convention Service Department meetings.

Execute special projects delegated by the Director of Convention Services.

Provide courteous, personalized, attentive guest service by responding promptly and efficiently to inquiries, requests, and complaints using guest service skills.

Practice the principles for guest service as denoted by service skills evaluation and the "Power of One. "

Identify ways of improving the efficiency and effectiveness of our service to guests by actively participating in the Omni Service Tradition program.

Be courteous and respectful toward other associates. Demonstrate enthusiasm, cooperation, and be a team player.

Be familiar with the Select Guest Program.

Maintain a complete and thorough knowledge of the hotel, including hours of operation, menu content, in --house promotions, location of facilities, events in the hotel etc.

Demonstrate knowledge of emergency, safety and security procedures.

Demonstrate effective telephone techniques. Respect hotel property and work areas by keeping them clean, well-maintained, stocked, and properly stored. Eliminate waste of supplies.

Follow departmental policy regarding attendance, tardiness, and absenteeism.

Be neat, clean, well groomed and maintain a professional image at all times. Tools and Equipment:

Tables and chairs when assisting room set-ups.

Computer and printer, typewriter, telephone, pen/pencil, photo-copying machine, file folders, filing cabinet, facsimile machine

Working Environment:

Exterior of hotel with exposure to weather conditions

Interior of hotel, in normal office conditions.

Qualifications:

High School Diploma or Equivalent. College degree preferred. Minimum of 1 year hotel sales/catering experience and/or successful completion of Omni LID program. Knowledge of the operations of the hotel industry. Dynamic, enthusiastic, creative leader who thrives under pressure and is able to perform multiple functions and troubleshoot when needed. Command of the English language both written and verbal, with the ability to demonstrate warmth and empathy when engaging with others. Must have proven selling, negotiating and presentation skills. Requires knowledge of advanced sales techniques. Highly developed customer service skills with strong attention to detail. Proficient computer skills including but not limited to Microsoft Word, Power Point, Excel, and Outlook. Delphi experience preferred. The ability to delegate, effectively train and coach Must be able to work a flexible schedule including nights, weekends and holidays.
