Job Description
    
The Administrative Assistant is expected to perform a variety of clerical and administrative duties.  Duties include answering the phones, overseeing computers, purchasing supplies, serving as liaison for all vendors, and supporting franchise owner and staff as needed.

Position Details
  • Reflect the core values of William Dahlquist Enterprises, Inc.,d.b.a. an independently owned and operated Home Instead Senior Care franchise.
  • Greet and assist guest so as to make every professional CAREGiver and applicant feel truly special
  • Answer each incoming call in a friendly, professional and knowledgeable manner and forward to the respective department or individual
  • Facilitate and oversee all vendor contacts
  • Monitor and maintain communication systems (including computer; phone, and cell phone services) by serving as a liaison between staff and our  vendors
  • Order office and stock supplies
  • Enter and maintain accurate Client and CAREGiver records Database.
  • Communicate Client and CAREGiver concerns or problems with Service Department accurately and in a timely manner
  • Demonstrate open and effective communication with owner, colleagues and CAREGivers
  • Compile and distribute Monthly CAREGiver Newsletter
  • Facilitate, coordinate and assist with set-up for all office meetings and events
  • Assist with all CAREGiver and Client correspondence
  • Oversee upkeep of common areas in office
  • Maintain regular attendance at the office to execute job responsibilities
Position Responsibilities
  • Collect and compile critical numbers each week and month
  • Assist with client long term care insurance reporting process. Includes but not limited to monthly collection and faxing of log notes and invoices.
  •  Update Master Mailing list for purposes of routine contact (i.e. Client Newsletter) with prior clients, service inquiries, requests for information, etc
  • Field employment inquiries from prospective CAREGivers and arrange for application process as needed
  • Participate and assist with organization of CAREGiver meetings
  • Perform any and all other functions and responsibilities deemed necessary
Education/Experience Requirements:
  • High school graduation or the equivalent
  • Three years of previous administrative assistant experience
  • Must possess a valid driver’s license
  Knowledge, Skills and Abilities:
  • This position must have an understanding of and uphold the policies and procedures established by William Dahlquist Enterprises Inc., (D/b/a Home Instead Senior Care an independently owned and operated Home Instead Senior Care franchise)
  • This position must demonstrate excellent oral and written communication skills and the ability to listen effectively
  • This position must have the ability to work independently, maintain confidentiality of information and meet deadlines
  • Knowledge of the senior care industry
  • Ability to demonstrate effective interpersonal skills essential as well as sound judgment and good decision-making skills
  • Must demonstrate discretion, integrity and fair-mindedness consistent with company standards, practices, policies and procedures
  • Ability to organize and prioritize daily, monthly and yearly work
  • Ability to establish good working relationships with management, colleagues, franchise owners and their staff
  • Ability to sit at a desk and listen effectively for long periods of time on the telephone
  • Ability to present a professional appearance and demeanor
  • Ability to understand how computers and other office equipment operates
  • Must be patient and congenial on the telephone 
  • Must have computer skills and be proficient in Word, and Excel
  • Ability to work evenings or weekends as required
  • Ability to perform duties in a professional office setting
