Nationwide Hotel and Conference Center is searching for an Accounting Clerk to work at this fast paced dynamic events campus location in Lewis Center, OH. . This individual will be involved with various tasks to include payable and receivable tasks.   Please note that this position is an entry level, hourly wage  position.

 

 

PRIMARY RESPONSIBILITIES:

 

 

  • Enter daily revenue into QuickBooks and distribute daily revenue to appropriate managers.
  • Obtain approvals and proper coding for all invoices / credits / monthly transfers and enter into QuickBooks in a timely manner.
  • Maintain Purchase Orders, correlate purchase orders, packing slips and invoices.
  • Process all travel agent commissions, monthly local taxes and verify that all monthly charges are received in the proper accounting period, preparation of monthly accruals vs actual charges.
  • Prepare for weekly A/P meeting with General Manager to discuss check run.
  • Print / Distribute A/ P checks weekly.
  • Research past due invoices / credits from vendors’ statements on a monthly basis.
  • Reconcile debit card charges for Engineering Manager /Controller / General Manager.
  • Reconcile Fintech purchases to bank statement.
  • Maintain Vendor’s permanent files.
  • Maintain Certificates of Insurance and W9’s for all active vendors.
  • Maintain contracts for vendors.
  • Maintain Office supplies and order as needed.
  • Rotating monthly audits of inventories / Enter final inventory totals into spreadsheet
  • Create File folders for all Tentative and Definite bookings.
  • Prepare deposit to send to bank.
  • Assist Accounting Manager in preparation for weekly A/R meeting with General Manager to discuss in-house folios, outstanding deposits and invoices.
  • Print Pro-forma Invoices / Folios / Group Rosters prior to / after arrival / after check out for accuracy.
  • Work with Conference planners to verify method of payment and sales and use tax status.
  • Assist Accounting Manager in working with Catering to verify all catered events are paid in full prior to the event unless direct bill privileges have been approved.
  • Work with Accounting manager to bill our internal customers utilizing disbursement codes.
  • Submit all invoices to client and follow up on receiving remittance in a timely basis.
  • Other Duties as assigned.

Requirements

  • Knowledge of QuickBooks is preferred.
  • Must be proficient in computer skills including Excel and Word.
  • Requires basic understanding of Accounting Principals and GAAP.
  • Good Communication skills (written and oral), must have excellent customer relations skills and be detail oriented and organized.
  • Requires manual dexterity to use and operate all necessary office equipment.
  • Two years of General Accounting experience preferred.
  • One year Hotel / Conference Center experience preferred.
