Description

As an Executive Administrative Assistant supporting a Corporate office, you are performing a wide range of administrative duties that support key initiatives, including correspondence, presentations, scheduling internal and external appointments, catering and other special projects.

What we are really looking is for someone to stay more than just a step ahead – a problem-solver who can accommodate different work patterns and anticipate needs. Our ideal candidate is resourceful, communicative, extremely organized, and follows through on all directives with accuracy and a sense of urgency. The ability to meet project deadlines and maintain flexibility with work hours as needed is a must. Work entails confidential and sensitive information requiring a high degree of discretion.

YOUR ROLE:
  • Prepare general correspondence, reports, graphs, tables, spreadsheets
  • Sit at our newly remodeled front desk station to welcome any visitors
  • Create Power Point presentations
  • Enter, review and update data related to contract files and RFPs (Request for Proposal)
  • Order supplies for the office to maintain a minimum level of basics on hand at all times
  • Maintain contracts and facilitate repairs or maintenance as needed for office equipment
  • Calendar management: schedule appointments, make travel arrangements, complete expense reports and organizing and coordinating logistics for group meetings


YOUR PROFILE:
  • 5+ years of corporate administrative experience in roles that regularly interfaced with external customers and senior management. Must be advanced in MS Office Word, Outlook, PowerPoint, and Excel
  • Composed under pressure despite changing priorities and occasional interruptions
  • Ability to communicate clearly and concisely, both verbally and in writing
  • High degree of initiative and independent execution. You are capable of thriving as a team player but is also driven by autonomy
  • Must be a great listener. Strong at processing input and converting into action items
  • Talent for maintaining a positive attitude, enjoys meeting new people and a knack for making them feel comfortable
  • A Bachelor’s degree (it’s a plus)
