Summary

Receptionist

We are seeking an exceptional administrative professional for this role. You are incredibly organized and you are a master of time management. You really know how to use Excel. You are comfortable working with data. You enjoy helping others. You can do more than one task at a time, while staying on top of the incoming phone calls at the front desk. You are the face of the company will to be the receptionist, while helping other departments with ad-hoc projects.

Primarily, this role is responsible for facilitating communication on a multi-line phone system between Customers or Clients, and the Company, as well as among associates. This person serves visitors by greeting, welcoming, and directing them in a professional, pleasant manner.

Responsibilities:
  • Facilitates communication by routing incoming calls to appropriate party’s extension or voice mailbox.
  • Supports administrative staff and other personnel by providing word processing support and performing various clerical duties, such as typing and stuffing envelopes/labels, and alphabetizing, mailroom support
  • Communicates professional image by greeting and directing visitors appropriately.
  • Maintains a safe and clean reception area by compiling with procedures, rules and regulations.
  • Maintains security by following procedures, monitoring log book, and issuing visitor badges.
  • Ensures accurate and current Company lists such as phone roster, brand assignment reference list, Client list, etc. for reference at reception desk by updating and distributing on a regular basis.


Qualifications:
  • (Required): High School Diploma or GED or equivalent experience
  • Ability to work independently and prioritize duties with minimal supervision, in order to meet deadline
  • Ability to complete multiple duties with accuracy shifting from one to another with frequent interruptions and competing deadlines
  • Excellent customer service orientation and interpersonal skills
  • Flexible and adaptable, able to change and alter according to changes in projects or business environment
  • Basic computer skills including familiarity with Word, Excel, and Internet usage
