What will I be doing?

To support all administrative functions of the Orlando Inbound/Call Transfer department.

 
  • Performs a variety of administrative support tasks and duties to assist the Call Transfer Department. Partners closely with the Call Transfer Management Team to provide day-to-day administrative support, as well as special projects. Utilizes broad and comprehensive experience, skills and knowledge of organizational policies, procedures, and practices. Ensures all work will be handled efficiently in their absence and understands that discretion and confidentiality are essential while performing in this role.
  • Process all Personal Action Forms, deactivations of all Call Transfer employees.  Maintain employee head count reports and work with HR and Recruiting to verify accuracy.  Process and track all spiff forms.  Maintain record keeping of inbound production, keep files on all related metrics of sales floor, provide support to sales managers and director.
  • Works with Sales Managers and Director to ensure all Payroll functions are accurate and transmitted to the Compensation Team.
  • Produces and Analyzes Reports for Call Transfer Management Team, as needed.
  • Assists in HR & payroll administration\: i.e. collection of timesheets, collection of missed punch forms, process PAFs, etc.
  • Develops a general understanding of the sales and marketing business in order provide administrative assistance and support
  • Demonstrates excellent interpersonal communication skills and confidentiality in the handling of incoming telephone calls and preparation of correspondence
  • Codes and forwards to management for approval all sales and marketing invoices.
  • As requested, assists with the coordination of sales and marketing programs/projects.
  • Composes correspondence from notes, discussions or independently from knowledge of circumstances and policy and procedure
  • Arranges travel reservations and prepares expense reports.
  • Organizes and maintains an orderly office filing and record system.
  • May analyze reports or correspondence to provide information
  • Provide the highest quality of service to HGVC customers and team members at all times.
  • Develop a general understanding of the timeshare sales and marketing business in order to provide administrative assistance.
  • Demonstrate excellent interpersonal communication skills and confidentiality in all matters relating to the business.
  • Distribute new and updated information to call center personnel.
  • Other duties as assigned.
 
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the particular requirements of the company.
 
  • Maintains and monitors inventory control of all office supplies for the department.
  • Generate and maintain reports needed for reporting.
  • Communicate with Director to ensure that all HR requests are being met and HR guidelines are being fulfilled (For example comp plans and PAFS)         
  • Type and prepare any documents or presentations requested by Sales Manager's and/or Director.
  • Prepare Team Member Travel program Passports for all Call Transfer employees
  • Carry out all other reasonable requests by Sales Manager's and/or Director.
