POSITION SUMMARY

To provide independently, or with limited supervision by the Director of Facilities, the direct day to day management of all Headquarters moves, reconfigurations, renovations, and special projects. This position plans, documents, coordinates and oversees execution of all departmental renovations and relocations within Corporate Headquarters and Washingtonian Two facilities and supports the Director of Facilities in all aspects of department operations.

EXPECTED CONTRIBUTIONS
  • Establish and document all criteria, standards, specifications and drawings for project renovations and relocations. Manage the schedule, contractors, and internal trades to ensure completion of headquarters moves and reconfiguration projects.
  • Issue and obtain customer approval for space plans, scope documents, construction documents, cost estimates, scope changes, move notifications, change orders, construction punch lists, and move punch lists.
  • Coordinate with Director of Facilities to administer outsourced consultant and construction contracts including solicitation of Request for Proposals (RFP), pricing/bid evaluation, execution of contracts, invoice reconciliation, invoice processing, and project cost accounting reconciliations.
  • Schedule and conduct project coordination meetings (as appropriate) with the client move coordinator, LAN Services, Telecommunications, electrical contractor, drywall contractor, Housekeeping, and Maintenance:
  1. Client requirements definition meeting
  2. Client approval meetings (space plan, construction documents, estimate, move notification)
  3. Trade Construction Document Meeting
  4. Project Relocation Kick-off meeting
  5. Project Coordination Meeting (daily)
  6. Construction Punch List Inspection
  7. Relocation Punch List Inspection
  • Conduct field inspections and progress reviews to ensure adherence to the project schedule and proper execution of construction documents, enforce performance and construction standards and expedite problem resolution.
  • Perform the function of “single point of accountability” for Headquarters and Washingtonian Two renovation and reconfiguration projects.
  • Lead, direct and closely monitor activities of consultants and in-house professional disciplines in providing the design and construction services in support of project management. In leading and directing, exhibit positive techniques of management, communications and teamwork to get the job done and ensure all team members are performing and have the appropriate skills and training to accomplish their work.
  • Prepare rent drawings documenting changes in rent allocation, and oversee rent roll adjustments as a result of renovation and/or relocation activity.
  • Support Director of Facilities and Vice President of Facilities as needed in the design, construction, space planning, relocation and operations of the Washingtonian Two building including special projects as assigned.
  • Proactively research and implement appropriate industry best practices and technologies to streamline the work process and increase the performance of construction standards resulting in cost reductions.
  • Maintain an on-going understanding of space inventory and space status (occupied, unoccupied, available) to enable response to requirements, new initiatives, and short/long term priorities. Meet with customers as needed to maintain an on-going awareness of their space needs and priorities.
  • Oversee and maintain established space allocation standards to ensure efficient space utilization. Oversee and maintain building aesthetic standards. Coordinate with Director of Facilities to ensure application of established FF&E and finish standards.
  • Oversee and perform all aspects of office space planning, construction, relocations, project management, and inventory control associated with the office environment within the Corporate Headquarters and Washingtonian Two facilities including 1) adherence to policy; 2) implementation of guidelines; 3) cost control.
  • Supervise two direct reports; Supervisor of Moves & Renovations and Assistant Supervisor. Also supervise various indirect reports including in-house trades, outside consultants, and contractors.
  • Take initiative to avoid problems and anticipate the needs of team members. When problems occur, take positive steps to solve. If assistance is required, or when problems are of a divisional or corporate nature, bring to the attention of the Director of Facilities with appropriate recommendations to resolve.
  • Accumulate and maintain key factor reports, including YTD totals of project area (sf), estimated costs, actual costs, variances and actual cost per sf.
  • Develop necessary communication plans, attend meetings and maintain liaison with in-house professional disciplines, department staff, Director of Facilities, and Vice President of Facilities.
  • Constantly seek to improve the cost effectiveness, quality, and timeliness of Headquarters Moves and Renovations' services, the design and construction documents as well as the end product. Make recommendations for improvements in procedures, systems and techniques to Director of Facilities.
  • Assist Director of Facilities in developing the annual department budget; track the budget and cost recovery performance; provide a variance analysis on a period basis; take corrective action to mitigate any budget variances.
  • Develop project estimates, contract documents as appropriate and manage projects within established budgets. Provide direction and assistance to Department technical staff as necessary.





CANDIDATE PROFILE

Key Skills/Requirements:
  • Additional skills should include accounting/cost controls, contracting processes and controls, FF&E inventory management, excellent oral and written communications, strong conceptual, mathematical, organizational and presentation skills. Experience with AutoCAD is preferred.


Education/Experience:
  • Four year degree or equivalent experience, and a minimum of 5 years of space planning, design, project management and construction management experience.
