Administrative Assistant

Home Instead Senior Care, a successful non-medical home care company, is seeking an Administrative Assistant. This will start as a part time position, but will likely grow to full time in the future. Primary duties are to answer incoming calls, greet visitors, assist with scheduling, assist with billing and payroll, and prepare mailings among other duties. Due to the variety of duties that are required, a well organized and detail oriented candidate is required.

The successful candidate will have:
  • A self-starting, upbeat, positive, go-getter attitude.
  • Excellent organizational skills, problem solving skills, and customer service.
  • Good telephone voice and skills. 
  • Will bring their own team player attitude to our team-oriented environment.
  • A warm, friendly, compassionate demeanor with elderly clients
  • Full understanding of Microsoft Word, and preferably Excel and all of Microsoft Office. 

Job Responsibilities may include but are not limited to: 
  • Assist with billing, including client invoices and CAREGiver payroll
  • Enter and maintain accurate client and CAREGiver records in the operating system
  • Communicate client and CAREGiver concerns or problems with owner or other staff members as appropriate
  • Determine each visitor’s purpose in a pleasant manner and promptly notify the appropriate staff member of their arrival
  • Assist with stuffing and mailing client invoices and CAREGiver payroll
  • Ensure Home Instead Senior Care standards are met and upheld
  • Maintain regular attendance at the office to execute job responsibilities
  • Demonstrate open and effective communication with owner, colleagues and CAREGivers
  • Order and stock office supplies
  • Maintain supplies for postage, fax, credit card and copy machine
  • Perform any and all other functions deemed necessary
