Today we are now seeking a highly-effective, organized Administrative Assistant to support the marketing and accounting functions of our growing company.

Responsibilities:

  • Maintain, enter and audit new or changed payroll information within the ADP payroll system
  • Review, reconcile and enter time-sheet data for each pay period
  • Ensure timely, accurate and confidential payroll processing 
  • Maintain QuickBooks and ADP data transfers
  • Prepare and send client invoices
  • Perform bank/check reconciliation functions and track key metrics
  • Prepare reports, spreadsheets and documents in support of management goals
  • Support on boarding of employees and maintain employee records
  • Assist with updates to the marketing database   
  • Maintain insurance certificates required by clients 
  • Purchase office supplies

 

Qualifications:

Skills/Qualifications: Must have prior experience or knowledge of payroll processing, invoice processing and marketing processes. Must  have accurate data entry skills and a special attention to detail, confidentiality, and thoroughness.

  • Bachelor's degree a plus
  • Client invoicing and tracking experience 
  • Experience with ADP Payroll is preferred 
  • Exceptional excel skills
  • Outstanding communication and organizational skills 
  • Excellent time management and multi-tasking skills 
  • High attention to detail and pride in one's work 
  • Proficiency in the MS Office suite (Word, PowerPoint, Outlook, Excel)
