Office Specialist

 

This position will promote accurate and productive workflow for departments within the organization in the absence of administrative support staff and assist with work overloads.

 

Essential Job Functions:

  • Required to fill in for administrative support employees (at various locations) at their desks.
  • Assume their duties when on vacation, long-term absences, staff meetings, or on sick leave to maintain a smooth operating department.
  • Assist departments with work overloads. This includes projects outside the “clerical field”
  • Assigned to special projects (large/special mailings, data entry, annual meeting preparation, and other meeting preparations.
  • Assigned to Publication Services the first four days and the last four days of each month and the entire month of March to assist with member statement mailings and other miscellaneous mailing projects.
  • Perform basic records center operations in accordance with established departmental procedures and processes.
  • Assume duties of switchboard operator/receptionist as needed.
  • In absence of Manager, Administrative Services and/or Administrative Specialist I, be familiar with making travel arrangements, scheduling pool cars, making hotel reservations, inform pilot of trips, etc.
  • Other duties as assigned.

 

 

Qualifications:

Education:

With an Associate Degree in a secretarial field, this position is entry level. With a one (1) year Vo-Tech Degree in a related field, one (1) year of office experience is required. With a High School Diploma, a minimum of three (3) years office experience is required.

 

Skills:

  • Computer literate with knowledge of various software packages helpful such as: Windows, Microsoft Word, PowerPoint, Access, Excel, E-mail, Portal, Lotus Notes and Organizer. Typing speed (accurate) 50 wpm. Basic math and reading.
  • Licenses and Certifications: Valid Driver’s License
  • Ability to work under pressure and adapt to new jobs quickly with minimal instruction.
  • Works with variable supervision in a variably paced work environment.
  • Ability to adjust to changing workloads and to receive instructions from different people.
  • Good verbal, written and listening communication skills are required. Considerable interaction with employees and some interaction with the public.
  • Must be honest, conscientious, dependable and team oriented. Detail oriented with extreme accuracy required.

Compensation range- $14.00-$16.00 an hour based on experience.  Full benefits offered.
