About this job

Job Summary:

  • Responsible for providing a range of administrative support in managing contracted personnel
  • Reconcile amounts owed by the company to agencies and contracted personnel
  • Perform daily duties to include filing, copying, processing invoices, preparing reports and other general office duties
  • Respond to general face-to-face, telephone or e-mail inquiries relating to billed invoices received from staffing agencies and /or owner operators, ensuring that sufficient, accurate and timely information is communicated
  • Control expenses by receiving, verifying, processing, and reconciling invoices
  • Proof read vendor invoices to identify discrepancies
  • Reconcile processed work by verifying entries and comparing system reports to balances
  • Charge expenses to company accounts and cost centers by analyzing invoice/expense reports; recording entries
  • Answer telephone, convey messages, and run errands
  • Communicate through phone, email and /or fax correspondence
  • Monitor contracted personnel to ensure contractual compliance
  • Compile data in a report of all compliance deficiencies of contracted personnel to Regional Management weekly
  • Regular attendance is required

Qualifications:

  • High School Diploma or General Education Degree (GED), or any combination of education and experience  which would provide an equivalent background
  • Minimum of 1 year previous clerical / office experience preferred
  • Must possess strong oral, written and interpersonal  communication skills
  • Strong computer skills, including Microsoft Excel and AS400 preferred
  • Must be able to type a minimum of 45 wpm
  • Prior transportation knowledge / experience preferred
  • Must possess a good math aptitude
  • Must possess good organization skills and be detailed oriented
  • Must have strong customer service skills
  • Demonstrated ability to positively motivate others
  • Must be able to comply with all company policies, rules, procedures and Code of Conduct
  • Must be able to interact well with others
  • Must be able to work independently, or in a team setting
  • Must be capable of working under tight time constraints in a high volume environment with multiple priorities
  • Must be able to lift approximately 10-15 lbs., or more if required by the essential functions of the job
  • Responds well to questions; Ability to read, interpret and comply with written information and documents such as safety rules, operations / procedure manuals and maintenance instructions with a high comprehension and concentration level to include the ability to meet deadlines
  • Must pass a pre-employment drug screen, random drug and/or alcohol tests, and will be subject to a criminal history background check
  • Must be authorized to work in the United States
