Senior Executive Assistant - Legal Team

Location : Dallas, Texas

Reporting Relationship : Will report directly to the Xerox Services Corporate Senior Vice President (SVP) and Group Counsel for Commercial side.

The Senior Executive Assistant for the Xerox Business Services' Legal Department is a seasoned professional who combines an overall understanding of the inner workings of a legal department and time sensitive matters attorney's routinely handle with the ability to work with executive level staff with minimal supervision, adjust to changing priorities and maintain confidentiality. The Senior Executive Assistant understands the requirement for flexibility and maintaining a positive outlook and demeanor while representing and supporting the attorneys and paralegals in their daily activities associated with managing, coordinating and resolving the Corporation's legal matters. This position will also be a backup for other Executive Assistants for vacation, sick and/or as needed.

Position Description :

Plans, coordinates and schedules meetings and conference calls, including meeting logistics, agendas, and the resolution of schedule conflicts in a timely fashion.

Coordinates, prepares, and proofs various reports and presentations for executive management and internal clients and maintains department metrics.

Supports the Mergers & Acquisition legal team by providing administrative support, including making copies and assembling files to meet specific and detailed requirements.

Answers incoming telephone calls for attorneys, greets visitors and maintains weekly itinerary.

Reads and routes incoming mail, correspondence and packages.

Sets up vendors in Accounts Payable and collects and submits required documentation for manual checks and payments.

Composes and formats a wide variety of documentation including, but not limited to, letters, notices, reports, spreadsheets, employee policies, and employee communications.

Initiate travel arrangements; create detailed itineraries (as needed with alternative travel to help accommodate travel needs).

Establishes, maintains and archives hard and soft copies of legal files.

Prepares, reviews and tracks invoices and expense reports.

Places purchase orders in order to maintain office supplies and materials .

Works with operational business units and corporate departments (e.g. Sales, Operations, Finance, Human Resources, Tax, Facilities, Risk, etc.).

Professional Qualifications and Skills :

Minimum of 5-7 years of experience as a successful Legal Assistant supporting multiple members of Senior Level Management, Attorneys and Paralegals.

Self-starter who is able to learn, prioritize multiple tasks, work independently, and thrive in a fast-paced environment.

Proven track record of functioning as a contributing member to the team in the work place.

Ability to maintain a high degree of discretion, displaying courtesy and professionalism in all contacts.

Must be detail oriented and possess strong organizational skills.

Strong verbal and written communication skills.

Proficient in SharePoint, MS Applications; Word, Excel, PowerPoint & Outlook/Outlook Calendar.

Ability to maintain calm and professional attitude under pressure or shifting priorities in a fast-paced organization.
