Assistant Project Manager

Supervisor: Operations Manager

Position Description: The Assistant Project Manager is responsible for supporting in all aspects of the administration and installation of large or specialty landscape projects for a branch. These responsibilities include assisting with all administrative paperwork pertaining to projects until substantial completion and through the warranty period, communicating with customers and project architects, and maintaining quality standards. Their duties also include setting up projects, reporting weekly and monthly, billing, and collecting receivables.

Basic Requirements:
? Ability to analyze situations, consider options, and offer suggestions on actions quickly
? Basic knowledge of landscape installation and construction techniques
? Detailed knowledge of company policies and procedures
? Proficient in reading and interpreting blueprints, construction details and specification
? Ability to negotiate price, terms and schedule with vendors and customers
? Ability to build strong relationships with co-workers, vendors, and customers
? Ability to project a professional image and a positive attitude at all times
? Good organizational and time management skills
? Proficiency in Word, Excel, Outlook, and JDE
? Basic understanding of business math, accounting and financial reporting

Responsibilities:
? Ensure that policies and procedures are followed
? Assist in creating a safe working environment for all employees and subcontractor
? Assist in minimizing rental equipment costs
? Ensure main project file is updated and maintained at the branch
? Assist in setting up project buyouts
? Prepare change order pricing from downloading drawing to takeoffs through entering in B2W as needed
? Solicit quotes from vendors and subcontractors and compile all backup for change orders
? Provide updated drawings to Field Manager's for all change order work
? Update change order logs and buyouts with revisions on a regular basis
? Help ensure that daily LSI entry and field reports are completed accurately
? Utilize LSI and Two-Week schedules to help track daily revenue and productivity by project or Field Manager
? Reallocate T&M in LSI as needed
? Assist in writing subcontracts and processing invoices
? Produce and update project schedules as needed
? Assist in ordering material, updating buyouts and processing invoices as needed
? Assist in preparing compliance paperwork for monthly billings
? Attend project turnovers and pre-job meetings
? Preparation of submittals, gathering updated quotes, RFI's, O&M's and closeout documents
? Update and track submittal log on a regular basis
? Conduct periodic Field Quality Inspections
? Initiate or respond to and follow up on project correspondence as needed
? Assist the Project Manager with the monthly financial closeout
? Utilize LSI reports to validate labor cost-to-complete projections
? Build positive relationships with the customer, architect and owner on each project
? Complete any additional duties or assignments as directed by the Branch Manager
