Aerotek is seeking an admin for a contract position for our client in Redmond, WA who has 2+ years of Administrative experience. Must be well organized with a strong ability to multi-task, strong communicator, and self-sufficient. We are seeking a candidate who is skilled in Microsoft Office Suite with an excellent knowledge of Excel. This individual would provide high complex administrative support to several senior managers and is able to prioritize their own time, and their work. This team has an open collaborative working style and seeking an addition that is engaging, well balanced team member who interested in being involved in day to day activities who has the ability to interact with the team.

The admin should have knowledge is setting up meetings, strong database management, report analysis, budget management and monitoring, invoices, memos, take notes during meetings as needed, handles shipping, and software skills.

Responsibilities include, but are not limited to supporting attendee registration for all events, manage attendee data to create reports for airport flight manifests, hotel rooming lists and create critical reports for event attendance, manage attendee communication and various other supportive duties.

Main must haves: Strong Excel skills, strong communication skills (proactive), strong organization skills

JOB DUTIES/ESSENTIAL FUNCTIONS (What):

  • Collects/prepares/manages data and manipulates spreadsheets for reporting purposes
  • Prepares correspondence, reports and presentation materials
  • Receives, screens, routes and/or responds to incoming phone calls and emails
  • Provides liaison support with other departments
  • Schedules meetings on behalf of management and staff and maintains department schedule
  • Serves as department records retention coordinator
  • Coordinates travel arrangements
  • Other duties as assigned.

REQUIRED EXPERIENCE AND QUALIFICATIONS:

  • Minimum two years of administrative/secretarial experience
  • Expert computer/programs skills with Microsoft Outlook, Word, Excel, and PowerPoint
  • Excellent written and verbal communication skills

EDUCATION AND CERTIFICATIONS:

  • High school diploma or equivalent

  • Ability to work in a fast-paced environment
  • Ability to self-manage workload with fluctuating priorities and deadlines
  • Ability to work with highly confidential and/or sensitive matters
  • Ability to communicate and work effectively with all levels, both internally and externally
