Job Summary

This position is a job share with the other Office Administrator and requires the ability to answer phones in a courteous manner, greet visitors, assist in office management and provide assistance in administrative/clerical overflow work.

Primary Responsibilities

  • Answer, screen and direct all incoming calls.
  • Front desk visitor check-in. Looking for a friendly person who offers great customer service to guests and to co-workers alike.
  • Verify meeting room requests and assist with meeting setup as needed.
  • Process overnight shipping.
  • Maintain postage machine (upkeep, daily run).
  • Handle mail pick-up from building mail-box and distribution.
  • Maintain office supplies and equipment, including kitchens and beverage cooler; ensuring sufficient supplies and regular maintenance.
  • Assist with building management requests, parking and elevator access.
  • Assist with department administrative/clerical work.
  • Process and review expense reports.
  • Maintain the highest ethical standards, even when challenged from above.
  • Understand and live by ethics and business conduct policies.

Qualifications

  • Ideal person will have excellent communication skills, be diplomatic and resourceful.
  • Ability to remain calm under pressure and work independently with a willingness to job-share and take on extra tasks.
  • Able to multi-task and prioritize projects amidst constant interruptions.
  • Professional appearance and pleasant disposition.
  • Punctuality is critical.

Education/Previous Experience Requirements

  • Minimum of 2 years working experience preferred.
  • Reception and switchboard experience preferred.
  • Experience with Microsoft Word, Excel and Outlook required
    Work Hours
  • 32+ hours/week - Shift 8:30am a.m. to 5:30 p.m. (some days may not be needed to come in until 10:00am).
  • Occasionally asked to cover morning shift if AM Receptionist is unavailable.
