BASIC PURPOSE: The primary purpose of this position is to inquire of consultants the status of permits applied for, verify that all proper permits have been applied for, ensure that construction permits are received and closed at appropriate times, and support the Manager of Construction services, and other duties as assigned.       

 

MAJOR RESPONSIBILITIES:

  • Communication with internal and external contacts to ensure appropriate paperwork for payment processing
  • Reconcile payment requests to existing payment system.
  • Data entry to payment system ensuring correct coding
  • Assist with activities involved with project cost reports
  • Maintain updated information in construction project management software solution
  • Responsible for obtaining proper approvals for payment requests and permit application submission
  • Notify Constructions Services AP of the need for reimbursement from others for fees paid on behalf of others
  • Works with architects, general contractors, and other consultants to address issues and receive updates.
  • Monitors correspondence from contract award to job completion.
  • Utilize multiple software solutions to aid in project management in coordination with assigned FCMs.
  • Communication with internal and external contacts to confirm the need for, status of application, estimated time of approval, and copies of approved permit documents. 
  • Distribute necessary information such as permit copies and status updates
  • Communication with internal and external contacts to assist and back up the utility coordinator.
  • Maintain updated information in construction project management software solution – extreme attention to detail needed.
  • Other duties assigned as needed.

     

    EDUCATION AND EXPERIENCE:

  • Education:
  • HS Diploma or equivalent required
  • Some College preferred
  • Experience:
    • Some office experience
    • Experience in construction field a plus
    • Past permit related experience preferred

      SKILLS AND PHYSICAL DEMANDS:

  • Hard Skills:
    • Proficiency in Microsoft Office suite, Projectmates, SAP VIM, PTP, PS
  • Soft Skills:
  • Tenacious and professional, ability to tailor message to all types of audiences
  • Ability to adapt quickly to change, willingness and ability to learn from other departments or alone.
  • Good verbal and written communication skills, strong time management skill, strong organizational skill, can-do attitude, sense of urgency, ability to take constructive criticism and strong work ethic.
  • Typical Physical Demands:
    • Requires prolonged sitting, some bending and stooping.
    • Occasional lifting up to 25 pounds.
  • Manual dexterity sufficient to operate a computer keyboard and calculator.
  • Requires normal range of hearing and vision.
