Position: Administrative Assistant
Job Summary: Provides essential technical and clerical support by performing administrative functions to ensure the efficient operation of a department and/or program. Duties include:
Assists in meeting regular functioning and needs of assigned dept. and or program by:
- Preparing and processing mailings
- Ordering supplies
- Maintaining supply and availability of paper and electronic forms
- Maintaining departmental central server folders and electronic files
Provides clerical support for meetings by:
- Scheduling meetings
- Preparing any materials and/or handouts
- Taking notes and completing minutes
Performs various data entry and retrieval tasks by:
- Entering data into specific data fields
- Reviewing data to ensure accuracy
- Receiving and responding to record or other data retrieval requests
- Processing data for reports and data analysis
- Documenting required department and/or program information
Maintains accurate electronic and hard copy files by:
- Filing documents
- Maintaining files
- Performing file audits and coordinating data collection for audits
- Purging files as required and according to department, program, and/or legal requirements
- Scanning documents and creating and maintaining appropriate files
Communicates with key customers by:
- Communicating with internal and external customers including but not limited to consumers, PCW staff, core staff, partners, collaborators and vendors
- Maintaining appropriate interpersonal relationships with internal and external customers including but not limited to consumers, PCW staff, core staff, partners, collaborators, and vendors.
- Providing back-up at reception area
- Preparing and sending various communications, and correspondence, i.e. letters, emails, etc.
Location: Madison, WI
Pay: $12.50
Schedule: Monday – Friday (27.5 hours/week)
Qualifications:
Education:
- High school diploma required.
- Two years of post high school education preferred.
Experience:
- Two – three years of experience in an office environment.
- Experience providing administrative support.
- Experience in organizing projects, meeting deadlines, prioritizing tasks.
- Experience working proactively on teams and independently on projects.
- Experience using the Office Suite of products to complete tasks and projects.
Knowledge:
- Knowledge of principles and processes for providing and assessing outstanding customer service.
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of written and oral composition, and grammar.
Skills:
- Using computer applications to support duties and responsibilities. Applications including Outlook, Word, Excel, and internet required. PowerPoint, Access and other database systems preferred.
- Demonstrated proficiency in, at a minimum, creating and managing tables, performing mail merge, using basic excel formulas, formatting documents and spreadsheets. Other proficiencies identified by specific department and program assignments and tasks.

- Ability to run reports, correct information and collect data for special projects, and analyze information.
- Ability to order information by arranging things or actions in a certain order or pattern according to specific rules, sets of rules, or procedures.
- Ability to work in a deadline-driven atmosphere while producing accurate work.
- Ability to maintain calm in stressful situations.
