About this job

Purpose:

This position is responsible for providing effective and timely support throughout the Great Clips system, including corporate staff, franchisees, and customers, for all general office activities.



Key Result Areas:

Customer Relations Management (CRM) system administration

• Maintain and update information in CRM for corporate employees, training centers and vendors (adding, editing and deleting records)

• Prepare and print envelopes for salon mailings



Inventory and orders

• Order business cards, name plates/tags for corporate staff

• Inventory and ordering of office stationery, FedEx supplies, toner



Industry Relations

• Handle pin sales

• Prepare and handle the shipping for industry shows

• Manage department inventory

 

New Franchisee Administration

• Prepare and mail packets upon request



General Mailings

• Prepare and print envelopes for general mailings



General Office Support

• Provides back-up phone coverage to the receptionist as needed for lunches, breaks, appointments, etc. to ensure continuous service to customers.

• Provide support to the General Office Manager of day-to-day matters and ensure a continuous flow of service to staff, franchisees, customers, and vendors of Great Clips.

• Processes all internal and external mail activities according to prescribed schedules and protocols to ensure that packages/mail is delivered accurately and promptly.

• Processes all copy center services so that materials are copied and/or assembled accurately and according to the timeframe identified by the customer.

• Provides general support in the following areas to ensure the continuous flow of operations.

o Orders office supplies for employees and maintains an adequate inventory of general office and kitchen supplies (paper, clips, post-it notes, etc.)

• Coordinate all Office Services and administrative needs for Home Office departments.



Key Technical Competencies:

• Knowledge of and skill in using personal computers and related software for database management.

• Knowledge of equipment used in performing copy and mail center functions such as a fax machine, postage meter, and various copy machines.

• Knowledge to establish group conference calls and webinars.

• Ability to perform work according to prescribed schedule.

• Excellent verbal and written correspondence skills.



Desired Education and Experience:

High School Diploma and 6 months experience as office assistant, general clerk, or related occupation.

Experience with Microsoft Excel is desired.
