The Senior Administrative Assistant will support the Community & State Maryland Senior Leadership and team members with multiple administrative tasks. This role will include traditional administrative / clerical support roles including: answering the telephone, documents preparation (i.e.: PowerPoint, Excel spreadsheets, Visio org charts, etc.), scheduling appointments, maintaining calendars, making travel arrangements, processing and tracking expenses, etc. 
 
This role will also serve as the office's Business Segment Liaison (BSL) with responsibilities including: New hire onboarding / offboarding, equipment ordering and set - up, software purchases and office supply ordering. Senior Administrative work will involve direct client interaction.  The Senior Administrative Assistant will often be asked to handle / manage special projects as well.
 
This is a fast paced working environment that requires a self - directed and self - motivated individual with outstanding skills who is personable, professional and remains cool under pressure. This person should have excellent organizational skills, the ability to maintain confidentiality, high integrity, work well with different personalities and individuals from executives to front line users.   
 
                 
Primary Responsibilities:                



Support Senior Leaders with administrative tasks; Create / maintain calendar and coordinate meetings avoiding scheduling conflicts

Create / prepare meeting materials (e.g., PowerPoint deck; agendas) and ensure distribution to appropriate individuals in a timely manner

Schedule, coordinate, and / or set up resources and technology needed for meetings / events; Leverage the appropriate technology to book meetings (e.g., conference rooms, catering, WebEx, tele-presence)

Complete and correctly submit required Service Requests to support department needs; track requests to ensure on time completion ; Process invoices and expense reports

Make travel arrangements for senior leaders and host, coordinate, and/or facilitate meetings / external events as needed

Incoming / Outgoing mail processing; UPS and FEDEX requests

Proactively determine needs of both the leader and the Plan and take actions to provide effective and efficiency support

Manage priorities, take proactive measures to prevent missed deadlines; deliver results as planned and monitor progress towards goals

Handle multiple assignments flawlessly and have the ability to consistently focus on the required details

Evaluate incoming requests/calls in terms of importance and use independent judgment to make the right call

Build good relationships with other administrators in the building and other parts of the business in order to be able to schedule meetings, resolve problems and make decisions that enhance organizational effectiveness

Communicate (speak, listen and write) clearly, effectively and timely using effective communication tools and techniques

Performs all other related duties as assigned

Requirements

Required Qualifications:             



High School Diploma / GED or higher level of education

3+ years of administrative support to senior leadership in a corporate setting

Intermediate or greater level of MS Word, Excel, Outlook and PowerPoint proficiency

Experience working in a fast - paced, matrix organization

Must have a polished demeanor and be comfortable working with people at all levels  

Ability to provide high quality, consistent services to the various leaders within the department

Ability to manage multiple tasks / projects and deadlines simultaneously with meticulous attention to detail

Experience coordinating large meetings, including WebEx virtual meetings and teleconferences

Proven ability to build relationships cross-functionally and lead toward common goals

Demonstrated experience in preparing senior-level presentations and reports

Excellent verbal and written communication and grammatical skills 
Preferred Qualifications:            

Bachelor's or Associates' degree
Takes accountability and ownership of tasks, performance standards and quality results
Experience supporting multiple executives within a fast-pace and changing environment
Intermediate or better level of proficiency with Concur, Visio and SharePoint
Previous experience in a healthcare related environment
Strong experience in creating and monitoring analytical reports
Business Segment Liaison (BSL) or onboarding experience (or willingness / ability to become certified as a UnitedHealthcare BSL)
