Job Description




Administrative support to Sales Manager, Account Executives, & Regional Director of Sales & Marketing for any correspondence that pertains to the hotel. Finalize and detail all meeting room and sleeping room groups and ensuring proper communication to the operations staff.

Responsibilities

  1. Provide the highest quality of service to the customer at all times, set example for immediate and hotel wide staff.
  2. Take inquiries and walk-ins that come into the hotel for group and/or meeting room business in the absence of the Sales Manager.
  3. Handle all social inquires and social business walk-ins.
  4. Must be able to analyze business to make profitable decision for the hotel whether or not it fits, quote rates and quote room rentals.
  5. Responsible for preparation and distribution of all outgoing correspondence pertaining to your property from the Sales Manager, Account Executives & RDSM ie faxes, proposals, contracts, thank you letters, regret letters, sales kits, comp night certificates
  6. Must have knowledge of Delphi and use on a daily basis for all group and catering business.
  7. Responsible for all catering events BOOKED BY ACCOUNT EXECUTIVES as follows prepare banquet event orders, send out banquet event orders to clients, place banquet orders with catering company, call clients for guarantees and let caterer know final count, greet all meeting room & social event contacts prior to events, advanced payments, direct bill authorizations, credit card authorizations, check in with contact during break times and lunch and after the event
  8. Group maintenance for property Sales Manager and Account Executives call for rooming lists, enter rooming list, route charges, release blocks after cut-off, watch blocks to see if we need to increase or decrease block when reservation method is individual call-in, enter final pick up in Delphi
  9. Preparation and distribution of 10 day packet BEOs & Resumes
  10. Responsible for passing out all change logs daily
  11. Input and manages group inventory in MARSHA/FOSSE
  12. Post Meeting Room charges
  13. Make all direct bill reservations and apply to direct bill account
  14. Handle all transient reservations involving credit card authorizations
  15. Handle all group special requests Shuttle requests group & individual, amenity form distribution and follow up, reservation cards
  16. Responsible for sales file maintenance
  17. Compile menus and sales kits give to front desk or banquet servers to complete
  18. Make sure collateral is in stock. Bring to attention of Sales Manager when running low on any collateral.
  19. Knowledge of front desk check-in, check-out, answering phones, transferring calls, making reservations, etc.
  20. Update and input any new menu items, menus, pricing changes in Delphi
  21. Prepare, distribute and present 10 day for groups & catering at weekly staff meetings
  22. Creation, distribution and marketing of all catering packages holiday, social formal, NYE, bridal shower, rehearsal dinner and brunches
  23. Monitor meeting room rental and revenues on a continuous basis
  24. Maintain close relations with the top accounts.
  25. Monthly visits to clients you deal with regularly to thank for business. Often times will be joint calls with Sales Manager or Account Executive
  26. Assist Sales Manager in planning of property specific sales blitzes and client events.
  27. Active member of a local networking group as assigned.
  28. Involvement in community activities and hotel programs.
  29. Clear understanding of all selling strategies set by Revenue Manager to ensure revenue maximization.
  30. Fluent with MARSHA, FOSSE, and all Marriott applications.
  31. Use of all Marriott Tools franchise source, e-tools, Marriott Rewards program, MarRFP, MRDW, MARSHA and OneSource.
  32. Complete the requirement for face to face appointments, prospecting calls, and site tours as outlined for your position by Concord Hospitality in the 25% proactive sales position. Guidelines are subject to change from year to year.
  33. Attend and participate in weekly sales, staff, bi-weekly revenue meetings, monthly regional meetings and other meetings as assigned.
  34. Attend any brand required training as well as Concord required training.
  35. Inform Sales Manager, Regional Director of Sales, and Account Executives of potential opportunities/concerns with clients.
  36. Responsible for knowing respective hotels emergency procedures.
  37. Carry out reasonable request by Management that you are capable of performing.
  38. Cross sell opportunities between cluster properties.
  39. Assist other Concord Hotels when required.
  40. Represent Concord Hospitality and the hotel in a professional manner at all times.
  41. Comply with company policies and procedures.
  42. Be knowledgeable of occupancy, average rate and RevPar goals.
  43. Group portion of the C3MO
  44. Proactive responsibilities as follows Responsible for solicitation of prior year catering events for repeat business, assist Sales Manager with creative ideas to capture meeting room business, meet all set activity goals, and weekly hour of power prospecting calls from list provided by Sales Manager.
  45. Assist Sales Manager on assigned portions of the marketing plan by gathering historical and competitive data, then setting goals and determining action plans to meet those goals.

Job Requirement

High School diploma or equivalent required and/or experience in a hotel or a related field preferred.
At least 3 to 5 years of progressive experience in a hotel or related field preferred.
College course work in related field helpful.
Computer knowledge/skills required.
Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.
Must be able to multitask and prioritize departmental functions to meet deadlines.
Approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner.
Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.
Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.
Must be able to understand and apply complex information, data, etc. from various sources to meet appropriate objectives.

Must be able to show initiative, including anticipating guest or operational needs.
