Seeking an Executive Admin to support our Management and C-Level Team. This company is a trusted partner of Costco, Walgreens, Kaiser Permanente, Johns Hopkins, and Government Organizations such as the VA.

Position Overview: Perform administrative duties for executive management and have the ability to work well with all levels of internal management, outside clients, and vendors. Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, and strong project coordination experience. Sensitivity to confidential matters required.

Responsibilities:


Administrative support to Senior Team members;


Proactively coordinating executive(s) calendars and resolving conflicts;


Reconcile corporate credit cards and submit to Accounting monthly;


Coordinate travel arrangements, expense reporting and prepare necessary materials;


Consult with executives to solicit information, provide critical updates and to coordinate information and priorities. Exercising tact, diplomacy and discretion in written and verbal communications;


Organize meetings/events, and videoconference/teleconference meetings. Schedule, organize and coordinate all onsite and offsite meetings including but not limited to managing invitations, tracking responses, coordinating speakers, transportation, dining, presentation materials, and/or any technological needs;


Completing projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; adjusting plans;


Reviewing and editing documents as well as development, review and editing of PowerPoint slides;


Process all outgoing mail for pickup; Receive/Sort and distribute all incoming mail; Prepare certified letters when requested;


Create & send FedEx pkgs. as requested;


Perform other projects as assigned as well as collaborate with other departments to assist in projects as requested;



Requirements:
At least 5+ years of previous experience in high level administrative support roles; experience supporting executives, preferably at the C-Level

Required Skills:


Strong/Advanced computer skills, in particular Microsoft Outlook, Word, Excel and PowerPoint


Administrative competence (typing, scheduling, e-mailing, heavy calendaring);


Superior organization skills with impeccable attention to detail and strong work ethic;


Demonstrated flexibility and problem-solving abilities;


Comfortable collaborating with all levels of management and consulting with key business stakeholders.


Strong team player that is solution oriented;


Possesses strong written and verbal communication skills;


Event management; scheduling, reach out and correspondence with external guests, set up meeting facilities, arrange catering review and edit meeting materials;


Great planning, organizational skills and a strong sense of confidentiality;


Ability to manage conflicting priorities and deliver on assignments in a timely manner;


Must have a positive "can do" attitude, be a consummate team player and show excellent judgment;


Well-developed interpersonal and communication skills;


Self-motivated, and eager to learn new skills and contribute to the success of the organization;


Exceptional organizational, communication, and critical thinking skills, and the ability to thrive in an interdependent and idea-rich environment.
