Job Summary\:

Manage the daily administrative and technical support sections of a medical clinic in accordance with established policies, procedures and standards.  Anticipate and plan for future changes.  Make recommendations to improve customer service as appropriate.  Position will manage a single large location or multiple locations. This may be specialty or multi-specialty

Essential Job Duties\:

Manage clinic staff on day-to-day operations; identify and provide guidance in resolving operational issues. May coordinate and support bookkeeping operations, managed care operations and receptionist coverage, as required; ensure that clinic deposit is processed and recorded on a daily basis.

Coordinate clinic operations and activities to ensure efficiency and quality service is delivered within all sections of the clinic; ensuring compliance with regulations and standards.

Ensure compliance with regulations and with clinic standards of quality patient care and patient confidentiality; effectively respond to all patient feedback and maintain written log; ensure that clinic reports are completed and processed in a timely manner.

Supervises fee, credit and collection procedures; ensure that clinic accounts and invoices are accurate; expedite processing of delinquent and/or inaccurate accounts/invoices.

Supervises all aspects of clinic employee management including selection, training and staffing; ensures the effective development and implementation of benefit programs and HR policies and procedures.

Responsible for employee performance management by completing performance appraisals and setting individual goals as outlined in policies and procedures.  Utilize best practices for performance management including\: rounding, performance management meetings and strength interviews.

Organize and facilitate regular staff meetings to discuss methods for improving customer service and efficient/safe operations.  Inform staff members of any changes to policies and procedures.

Coordinate with all clinic management.  Attend staff, clinic management, and committee meetings and participates in committees as requested.  Keep Medical Director and Regional Administrator abreast of clinic operations and special projects.  Participates in professional development activities to keep current with health care trends and practices.

Prepare, recommend, and monitor clinic budget, goals, and objectives taking into consideration input from clinic staff.

Participate in the planning and development of Franciscan Medical Group policies and procedures, as well as clinic-specific procedures and programs.  These may include medical support systems, marketing, infection control and billing procedures and/or others to increase and maintain patient volume and satisfaction.

Perform special clinic and network-wide projects to promote public and community relations.  Serves as liaison between clinic and external agencies.

Perform similar and incidental duties as assigned

Qualification:

Job Requirements\:

Associate’s degree in office management or training in health care preferred.

Relevant years of work experience in health care that achieves a level of knowledge equivalent to that acquired through completion of at least one year of Business College or advanced secretarial.

Medical terminology or office management training preferred.

Three to five years healthcare operations experience in a clinic setting; preferably of increasing responsibility.

Minimum of one to three years supervisory or management experience.
