Job Description - Assistant to the Directors

Position: Assistant to the Directors

Salary: $10.50 Hourly, Full Time

Reports to:  Director of Operations

Scope of Position

The assistant to the directors will be responsible for maintaining office operations by receiving and distributing communications; maintaining supplies and equipment, running reports in the appropriate software systems, record and keep track of the flow of incoming and outgoing funds in QuickBooks and support Senior Management team.

  • Maintain a positive and respectful attitude toward staff and the general public at all times.
  • Communicate regularly with the rest of the Senior Management Team.
  • Demonstrate the ability to prioritize workload.
  • Willingness to participate in staff meetings and share ideas and suggestions to improve the organization as a whole.

Duties and Responsibilities

  • Record and keep track of the flow of incoming and outgoing funds in QuickBooks.
  • Organization and compiling of Paysimple transactions and other means of incoming cash flow.
  • Deposits of all donations and inputting data into Donor Snap and running reports from Donor Snap.
  • Bill payments and recording of incoming invoices.
  • Filing of all financial bills, payments, statements, and vendor files.
  • Ordering and maintaining office supplies.
  • Processing new employee paperwork and E-verify
  • Organize/handle Continuing Cat Care program and Brick program.
  • Support other team/staff members with specials events when needed.
  • Administrative support to the Senior Management Team.

Qualifications/Educational Background

  • Familiarity with QuickBooks, Microsoft Word, Excel, and other programs necessary to conduct daily duties.
  • Excellent oral and written communication and interpersonal skills.
  • High energy, outgoing, team player, and a passion for The Hermitage's mission is essential.
  • Must be willing to have a background check.
  • Valid driver's license.
