Job Description - Assistant to the Directors
Position: Assistant to the Directors
Salary: $10.50 Hourly, Full Time
Reports to: Director of Operations
Scope of Position
The assistant to the directors will be responsible for maintaining office operations by receiving and distributing communications; maintaining supplies and equipment, running reports in the appropriate software systems, record and keep track of the flow of incoming and outgoing funds in QuickBooks and support Senior Management team.

Duties and Responsibilities
- Record and keep track of the flow of incoming and outgoing funds in QuickBooks.
- Organization and compiling of Paysimple transactions and other means of incoming cash flow.
- Deposits of all donations and inputting data into Donor Snap and running reports from Donor Snap.
- Bill payments and recording of incoming invoices.
- Filing of all financial bills, payments, statements, and vendor files.
- Ordering and maintaining office supplies.
- Processing new employee paperwork and E-verify
- Organize/handle Continuing Cat Care program and Brick program.
- Support other team/staff members with specials events when needed.
- Administrative support to the Senior Management Team.
Qualifications/Educational Background
- Familiarity with QuickBooks, Microsoft Word, Excel, and other programs necessary to conduct daily duties.
- Excellent oral and written communication and interpersonal skills.
- High energy, outgoing, team player, and a passion for The Hermitage's mission is essential.
- Must be willing to have a background check.
- Valid driver's license.
