Reporting directly to division General Managers/Presidents, supports the operations leadership team of two different divisions with administrative requests and needs.
* Assist operations with compiling data and information for Quarterly Business Reviews.
* Create advanced Power Point presentations for a variety of meetings.
* Partner with Financial and Data Analysts at the company headquarters. Collect information and data from various sources and compile into Excel. Design, enter and analyze data using Excel functions (VLookup/HLookup, pivot tables) and make recommendations on course of action.
* Schedule tracking of results from GCA initiatives; run reports as needed. Track timelines for deliverables to the clients. Engage operations management team as deadlines approach.
* Lead internal communication efforts for critical client or project notifications; distribute information to the operations teams.
* Responsible for contract database management.
* Coordinate schedules and meetings; make travel arrangements; review, enter and submit expense reports, etc.
* Coordinate schedules of the senior level management team.
* Assist managers with processing of new hires along with ensuring proper completion of pre-employment paperwork. As appropriate, enter new hires into HRIS system.
* Initiate, track and compile data from customer surveys.
* Support ad hoc requests -- which vary in nature and frequency.
* Partner with internal clients such as Legal, Accounting, Operations, etc. to gather needed information.
* Other duties as required and as are typically associated with an Executive Assistant role.
Qualifications
* Associate's degree or two years of related work experience required. Experience as an office administrator, administrative assistant or office manager preferred.
* Strong verbal and written communication skills. Will interact with multiple levels of management and leaders (both internally and externally).
* Excellent organizational skills and demonstrated ability to multi-task.
* Ability to handle confidential information.
* Sense of urgency and ability to meet deadlines; self-directed.
* Excellent computer skills in the Microsoft Office Suite: Word, Excel, PowerPoint.
