Job Description:

SUMMARY:

Reporting to Facilities and Workplace Manager at a prestigious, high-tech account in Downtown San Francisco, the Workplace Budget Administrator is responsible for organizing, analyzing, and coordinating Zynga workplace budget and invoices to ensure real time spend and available funds reporting. This positon is instrumental in ensuring that accurate financial information, vendor invoices, department expenditures, and PO/contract data are up-to-date so critical weekly metrics a provided to management team to make strategic decisions. This individual thinks critically, communicates effectively, both orally and in writing, and makes sound decision on financial systems and processes.

RESPONSIBILITIES:

• Assists in maintaining and reconciling the department budgets;
• Manages budget tracker based on invoices forwarded on from department heads and spend reports obtain from Finance team;
• Maintains POs, MSAs, SOWs, and supporting documents in the iProc and contract management systems;
• Coordinates with Legal, Procurement, and Finance teams to ensure contracts are complete, accurate, and in compliance with company guidelines and regulations;
• Coordinates with vendors to ensure proper documentation has been processes prior to initiating project work;
• Prepares financial information for Workplace Services annual operating plan;
• Assists with verifying invoice details and reconcile billing discrepancies with vendors;
• Monitors departmental spend to ensure it is within budget;
• Reconciles and approves monthly rent roll;
• Leads monthly budget reconciliation meetings to ensure accuracy in spend and visibility to Budget vs Actuals;
• Assists with obtaining vendor quotes and necessary documentation for contract approvals;
• Acts as a liaison between finance and legal to assist with getting contracts approved for projects.

TECHNICAL SKILLS, EXPERIENCE, AND TALENTS:

• At least 2+ years of progressive finance experience in relevant industries;
• Exceptional financial, analytical and problem-solving skills;
• Self-motivated, demonstrates initiative, flexibility, maturity under pressure, and anticipates and resolves problems before they develop;
• Customer focused professional presence, intelligence, self-confidence, and ability to interact with senior management;
• A team player who is able to build relationships and work collaboratively across business units/functions;
• Strong influencing skills, which inspire trust and confidence and command the respect of the peer group and executives throughout the corporation – a recognized change agent;
• Strong communication skills, written and verbal; effective and credible presenter to senior Executives;
• Confidentiality and integrity in dealing with highly sensitive information;
• Strong reputation for professional integrity, seasoned business judgment, and objectivity;
• The candidate must be able to work in fast paced environment and deliver results under tight deadlines.
