Position: Import/Export Compliance Specialist
Job Summary: Under the supervision of the Trade & Compliance Supervisor, the Import / Export Compliance Specialist is responsible for preparing and fulfilling commercial document needs for all facilities in accordance with company policies and procedures.
Including but not limited to:
- Prepare international shipping documentation (NAFTA, Commercial Invoice, SLI, SED, Non-NAFTA Certificate of Origin, etc.) for all WMNA facilities
- Audit international shipping documentation for accuracy and completeness at all facilities.
- Maintain proper records to facilitate in external audits.
- Record retention (scanning) of all export documentation, shipping orders, and international receiving paperwork.
- Furnish export brokers, freight forwarders, and customers with proper documentation for international shipments as requested.
- Resolve discrepancies on all export shipments.
- Respond to all inquiries (verbal/written) relating to traffic activities. Directly correspond and maintain good working relationships with customers, traffic representatives, and intercompany personnel.
- Be able to navigate the AS400 operating system to find shipment information (pricing, terms, addresses).
- Approve, code, and audit freight bills and invoices for inbound and outbound domestic and interational shipments, which include third party and direct shipments.
- Keep abreast of all inbound air freight and vessel overseas shipments. Coordinate inbound shipments with brokers and intercompany personnel.
- Schedule, coordinate, and ensure maximum economy and efficiency of all traffic (inbound and outbound) for domestic and international shipments, including third party and direct shipments.
- Keep abreast of all federal, state, and international laws and regulations pertaining to exportation, including all EAR & license regulations.
- Regular and reliable attendance is key to performance of this job.
- Comply with all Operations Department and Company policies, procedures, and programs.
- Follow and comply with all safety and work rules and regulations. Maintain departmental housekeeping standards.
- Promote and maintain a flexible, cooperative, team oriented, and customer focused attitude within and between departments.
- Keep Trade & Compliance Supervisor aware of pertinent issues and information warranting his/her knowledge, action and/or resolution. Responsible for Environmental Health and Safety management and policy commitments as prescribed for this role in the company Duty of Care.
Location: Madison, WI
Pay: $16-20/hr.
Qualifications: Associate’s degree or equivalent from two-year college or technical school; or one year related experience and/or training; or equivalent combination of education and experience. Experience with Excel is a must.
