Job Description:
* Provides highly complex administrative support for an executive as well as business groups/global regions.
* Prioritizes own time, high-level manager's time, and manager's directs' time.
* Makes administrative decisions and requests on behalf of high-level manager to provide complex calendar management.
* Proactively manages logistics for business group meetings/events.
* Uses diplomacy and professionalism to draft communications for high-level manager.
* Creates data management plans and manages data by using the advanced features of Microsoft products/tools.
* Develops a deep knowledge of the overall business group strategy, and acts as an information resource to the business group.
* Anticipates and removes administrative roadblocks and makes timely decisions across the business group.
* Directly resolves customer requests and hosts business guests.

Skills:
All qualifications of an Admin Assistant, plus 5-7 years executive support. Writing skills: ability to draft emails on behalf of high-level managers intended for senior level managers. Must be very organized, with a strong ability to multi-task as well as be a strong communicator. Previous Microsoft experience preferred.

Story Behind the Need - Business Group & Key Projects:
Business Group:
* CSS.

Surrounding team and key Projects:
* The sponsor has been in CSS for a little over a year and supports the CVP.

Purpose of the Team:
* This is one of the largest groups in MSFT (about 9,000 Worldwide) and we are Customer Support Services for our products.

Reason for the Request:
* 1 EA position to backfill a contractor who is being termed for poor performance.

Motivators for Need:
* Skillset is our priority. We need someone who understands the sense of urgency required in this role and what questions to ask.

Typical Day in the Role:
Start and End Date:
* 8/28/17-6/30/18. This role is intended for 18 months.

Daily Schedule:
* They will be working 9am-5pm with some changes due international calls and meetings. Anticipated strict 40 hrs/wk, although we will be building in a 20 hrs/month OT buffer just in case.

Typical Tasks:
* For the XLT team this candidate will be primarily doing calendar support, travel booking, MSS and HeadTrax changes for the organization as needed. Acting as backup support for other admins, assist with site-support as needed (delegating space, conference room bookings, catering), expense reports. This team also has a business admin that supports this organization who will handle the catch-all for business requests.
* A bulk of the day will be spent calendaring and booking travel. It's difficult to estimate what portion of the day they will be doing what activities. The day-to-day will change. These candidates should be seasoned EAs and able to help prioritize what needs to happen while supporting their managers and their peers.

Interaction with Team:
* A lot of Skype and email. Worldwide there are 40 admins on this team, although these candidates will interact primarily with 12-15. This interaction will change based on the countries their manager will be supporting. A lot of the team are engineering leaders, but our team is very social.

Work environment:
* Will be onsite in REDW-C. This role is entirely onsite and these candidates need to be local to Puget Sound. There is no flexibility to work from home or remotely. Our environment is very casual and flexible.

Candidate Requirements:
Top 3 must-have hard skills:
1. 2-3 years at Microsoft supporting someone at a Director Level or higher. If no Microsoft experience, then they should have 5 years of experience at an EA.
2. 1-2 years supporting a global/worldwide organization.
3. Management of multiple calendars at one time across multiple time zones.

Years of experience:
* Ideally, this candidate will have 2-3 years at Microsoft of supporting someone at a Director Level or higher. We are open to those without Microsoft experience, but if they do not have this experience, they need to have 5 years of experience at an EA. All candidates need to have minimum 1-2 years supporting a global/worldwide organization.
* Candidates with previous Microsoft experience need to have one year to 18-months network access available. Would prefer if they have a full 18 months of network access.

Degrees/Certifications:
* Not required. Experience is our priority.

Disqualifiers:
* A quiet, shy person will not do well in this role due to the large number of people they need to support and regularly interact with. Our team is very outgoing and collaborative. We need people not afraid to ask questions when needed, but know how to do their own research.

Ramp Up:
* There is a lot to know. Previous MSFT experience will likely ramp-up quickly. If you don't have MSFT experience, it can take up to 6 months to understand and know all the tools you need to know. The ideal candidate needs to exhibit an ability to learn. The ramp up is longer just due to the size of the organization - there's a lot of different groups within it and things to know.

Best v. Average:
* The ideal candidate has MSFT experience. If they do not have this experience, they need to have 5 years of experience at an EA. WE need someone who has the international travel booking experience. They need to have supported worldwide teams: this is especially important for booking calls in consideration of different time zones. We need someone who is proactive and able to problem-solve.

Performance Indicators:
* Communication is key. The sponsor will be regularly checking in to pulse-check and support these admins. Sponsor is very open-door. Is the calendaring accurate?
