The Opportunity
The Operations Coordinator will support the TD Garden Operations Department for all events to ensure client satisfaction and the maximization of the guest experience.
The primary focus is to assist with a broad spectrum of administrative support, pre and post event preparation, invoice processing, payroll assistance and all other administrative duties and special projects as assigned.
Responsibilities
Provide administrative support to TD Garden Operations Department, including word processing, answering telephones, department correspondence (including US Mail and FedEx), and filing.
Assist and coordinate operational support for all events at TD Garden to ensure client satisfaction and the maximization of guest experience.
Assist with budget preparation and periodic reports.
Coordinate all certificates of insurance for department equipment use according to DNC minimum requirements.
Run post event reports the morning after each event.
Coordinate and assist with scheduling of part-time event staff
Assist in entering/closing purchase orders in Computerized Maintenance Management System (Aware Manager).
Assist with invoices being approved for Accounts Payable to process.
Assist in preparing payroll for Operations Department, including handing out paychecks.
Perform other administrative duties and special projects as assigned, including completion of special projects, reports and presentations
Assist in recruiting, training setup and paperwork preparation of part-time operational event staff
Qualifications
Bachelor’s degree in related field and 1-3 years of experience in the field
Knowledge of Microsoft Office, including Word, Excel and PowerPoint
Excellent Communication skills, written and verbal, detail oriented, strong problem solving skills, ability to multi-task and exhibit exceptional time management and interpersonal skills, the ability to exhibit patience and calmness under difficult circumstances
Entertainment arena experience a plus
Must have a flexible schedule, including nights, weekends and holidays
Ability to lift up to 30 pounds
