Seekina a Junior Receptionist/Concierge to support our well-known, global company with Headquarters in Menlo Park.

Hours: Monday - Friday, 8:00 am to 6:00 pm (one hour OT)

Job Description
Monitor pedestrian traffic and assist clients and gusts as needed
Answer phone calls from Corporate Services team, clients, and building staff
Act as an operations hub for information receiving and distribution between Corporate Services team, clients, and building Staff
Sort mail and deliveries to the different Business Units
Call Corporate Services staff to escort vendors as they come in
Notify clients and subtenant of gust arrival
Sign vendor receipt tickets as needed
Coordinate badge access including enabling and disabling access cards, distributing temp cards, and maintaining badge log
Work with cardreq and NY Security for access control
Notify building engineers or maintenance when building or janitorial issues come up
Notify the day matron when vending orders arrive so that she can attend to them
Give directions to the clients and guests as needed
Call taxis or care service as needed
Monitor café visitors and send weekly log to ARBO regional manager
Allow access to fitness center to building employees
Allow access to loading dock as needed
Inform site manager and ARBO regional manager of emergency situations, power outages, unexpected vendors, unusual activities, and any unsafe conditions
Close doors before leaving each day
When conducting an escort, site walk, or leaving the lobby for a break, arrange for another member of Corporate Services to cover you
Coordinating parking lot license plate log; call clients if any issues with cards (i.e. headlights on, flat tire, etc.)
Monitor the CCTV at the front desk
Monitor email activity on the Corporate Services shared e-mail account
Other tasks as assigned

HS diploma or equivalent with 1-2 years of relevant administrative/operational support in manufacturing operations or office environment directly related to the duties of the job, OR demonstrated ability to meet the job requirements through a comparable number of years work experience


Requires good knowledge of general/standard administrative manufacturing operations procedures and methods to successfully complete the duties of the job


Must have general knowledge of technology to include computers and software programs such as MS Office or MAC word processing, spreadsheets or other programs related to the print manufacturing process or administrative support


Must be familiar with applicable skills and procedures required to perform the duties list in the job


Must have good oral and written communications skills sufficient to provide routine information, answer inquiries, and/or refer calls


Requires good organizational skills, attention to detail, and ability to solve problems related to the duties of the job


Candidate background should include hoteling, hospitality, security, customer service, and/or reception.
