Randstad is actively recruiting for an Junior Administrative Assistant to support the CEO of this company. This company is open to someone who has less experience but is willing to grow and learn with the company.
PURPOSE OF POSITION:
- Administrative assistance to professional consulting staff in support of:
- Proposal and report final preparation, including production
- Internal search for information under the direction of a professional staff member
- Client communication on behalf of a professional staff member to arrange meetings and supporting detail, presentations, etc.
- Organization, filing and retrieval of client communications, specifically facsimile memorandums, letters and other material
- Overall professional support for consulting staff to facilitate timely analysis and delivery of client work
- Support of ad hoc requests requiring administrative support (i.e., communication with manager's client counterpart).
SPECIFIC TASKS AND RESPONSIBILITIES:
1. Arrangement of client report and presentation production, including:
- Report/presentation editing
- Comp. checking
- Copying and binding
- Formal communications to clients via Express Mail and facsimile/ e mail
2. Search and assembly of in house information relevant to a specific project under the direction of a professional staff member in coordination with business librarian, including:
- Search for existing data and information in contract, information and financial files
- Retrieval from BBC data base of specific information
- Search of BBC's reference library for specific facts
- With approval of a professional staff member, external contact and search for information.
Working hours: 9:00am-5:00pm
Monday-Friday
MEASURABLE POSITION OBJECTIVES:
Quality, timeliness and accuracy of administrative assistance and support rendered to professional staff members on a reasonable request basis
Proactive, highly organized timely follow up
Flexibility as to shift in priorities and willingness to exercise initiative and good judgment in completing priority requests
General knowledge and skills involved in in house data retrieval
Initiative and willingness to acquire new skills such as basic analytical tasks, i.e., spreadsheet and table preparation, data information summary and extraction, and graphic design and output
General support of BBC's goals to maintain a high professional standard in communication and consulting work performed on behalf of clients
Ability to learn new software programs (e.g., Goldmine Contact Manager - "on line rolodex" - and BBC internal e mail software program
Willingness to assist other administrative personnel and staff members in their duties/tasks when time is available
Other miscellaneous projects as required.
