Job Duties and Responsibilities:

This is an entry-level position which ensures that customer billing and payment transactions are correctly entered and audited. The Operations Specialist communicates with internal and external customers to resolve billing and payment issues. Additionally, understands and follows current processes and identifies process improvements to ensure financial transactions are accurate and appropriate.

Primary responsibilities fall into the following categories:

  • Follow procedures and use critical thinking to process and audit detailed transactions related to customer accounts and automated systems, including sales orders & disputes, refunds, payment adjustments, and issues related to bankruptcy, telephone partner billing, and billing documentation.
  • Attention to quality & detail. Willingness to be challenged by and commit to learning detailed tasks. Complete assigned work in the expected timeliness at the expected level of quality identified for each area.
  • Clear communication. Engages in productive and positive written and verbal communication. Prepare, audit, and distribute reports to higher level department staff, as scheduled or upon request. Identify weaknesses in task procedures and communicate specifics to Leadership
  • Comply with all company policies and departmental procedures, ensuring honest and ethical conduct at all times while maintaining a positive attitude.
  • Learn and apply basic knowledge of the following commonly used applications as necessary: billing system, order entry system, Microsoft Office (Word, Excel, Access), Clarify, and Oracle (not a comprehensive list of all possible applications and software). Display flexibility necessary to promote overall team success on a daily basis.
Skills - Experience and Requirements:

A successful Operations Specialist will have the following:

  • Bachelor's degree or relevant courses or relevant experience preferred
  • Ability to learn Microsoft Excel and Access
  • Ability to read and interpret documents such as contracts, procedures and instructions, write routine reports and correspondence, speak effectively before groups of customers, vendors, and fellow employees
  • Ability to maintain credible and appropriate relationships with other employees and management, strive to achieve effective performance within the department, working for the overall success of the company
  • Ability to calculate figures and amounts (such as discounts, interest, commissions, proportions, percentages), define problems, collect data, establish facts, and draw valid conclusions, interpret an extensive variety of technical and non-technical instructions, and deal with several abstract and concrete variables
