About this job

Oversees the store office including the case room and is the primary contact for the store location and the corporate office. Must demonstrate uncompromising integrity due to the exposure to business related information, sensitive and confidential documents, and information including cash handling.

DUTIES and ESSENTIAL JOB FUNCTIONS:

BASIC FUNCTIONS:

  • Orders and maintains store supplies and completes purchase requisitions.
  • Reviews and distributes all store communications.
  • Maintains Floral Report.
  • Provides information and reports as requested by Store Manager.
  • Types/faxes Management schedule to Operations.
  • Creates store signage as instructed by Store Manager.

JDA:

  • Adds/updates/removes Employee information.
  • Makes copies from JDA of Direct Shipping Purchase Orders.
  • Maintains Inventory Control by processing received merchandise, damages, and floral design inventory adjustments.
  • Checks missing or incorrect Inventory UPCs/SKUs.
  • Checks for Ad events.
  • Processes freight logs, load sheets, transfer sheets and truck lists.

TIME AND ATTENDANCE:

  • Adds/updates/terminates employee information.
  • Trains new employees on time clock operation.
  • Maintains accurate attendance records and transmits them to Payroll.
  • Enters employee work schedules and adjustments into computer.
  • Maintains Employee time card reports, processes and exceptions.
  • Adds/updates/monitors any paid time off (vacation, bereavement, etc.)
  • Transmits payroll/hours information to Corporate Office.
  • Completes payroll process including sending timecards to Corporate Office.

SAFETY:

  • Completes General Liability reports and faxes to Chief Financial Officer.
  • Responsible for completing reports and communicating and storing information related to workplace injuries including First Report of Injury, Accident Investigation report, OSHA 300, and contacting any needed facilities or insurance carriers.

HUMAN RESOURCES:

  • Creates/maintains employee personnel file and separate benefit files.
  • Responsible for accurately completing and filing all new employee paperwork.
  • Processes and files all hourly employee changes, events or transactions.
  • Maintains Store Bulletin Boards.
  • Distributes paychecks.

CASH ROOM:

  • Responsible for all daily cash received and the daily balancing of cash registers and cash reports.
  • Maintains security of the cash room area at all times.
  • Balances and prepares store deposit funds daily.
  • Prepares daily reports including Safe Count, Bank Deposits, Over/Short Log and Post Voids.
  • Balances the safe at least twice each day.
  • Deposits vending funds.
  • Orders change from the bank as needed.
  • Prepares cash bags for store registers daily.
  • Reconciles petty cash with a manager.
  • Processes cash room bundles.
  • Processes Audit Envelopes.

KNOWLEDGE and SKILLS:

  • Ability to operate office machines such as typewriters, computer, calculator, copy and fax machine.
  • Ability to perform mathematical operations such as addition, subtraction, multiplication, division and percentages.
  • Knowledge of cash handling procedures including cashier accountability.
  • Good organization skills with attention to detail.
  • Effective interpersonal skills.
  • Effective oral and written communication skills.

WORK EXPERIENCE and/or EDUCATION:

  • High school diploma or equivalent strongly preferred.
  • One year of experience in a retail and office environment preferred.
