ease and efficiency:

Customer Service Representative(CSR)
Executive Summary:

The CSR is a professional position and requires that the CSRpresent and conduct themselves accordingly including but not limited toappropriate attire, professionalism in all communications to customers andfellow employees.

The CSR keeps work flowing smoothly through the plant, takingcustomer orders, processing them and ensuring that the customer is satisfied atall times.

The CSR is the pulse to what the customers are feeling about the companies service,quality and responsiveness. How our customers feel about us, our service andour quality starts with customer service. You are our ears to how we are doing,what our customers think about us and what we can do to better serve them.

The CSR job begins at the design process to quoting to approvals andfinally to entering the order and following through to make sure the order isdelivered correctly and in a timely manner.
CSR responsibility with customers:
  • Answering the phone in a consistent, pleasant manner so the customers can hear your smile on the other end
  • Coordinating pricing on projects and providing pricing to customers once item is completed
  • Scheduling and coordinating delivery time and tracking
  • Responding to customer questions, complaints and follow up with plant personnel as needed
  • Fax order confirmations to customers
  • Process purchase orders to vendors for materials for orders
  • Coordinate accounting credits
  • Prompt customers for orders

CSR responsibility within plant:
  • Ability to screen calls for potential new customers or nuisance calls that don’t need to be forwarded
  • Basic knowledge of plant layout and machines, what the machines can do and being able to identify each machine
  • Analyze sales data for customers and follow up when there is a lack of activity
  • Internal scheduling (with sales and production)
  • Timely ordering of materials and supplies for production
  • Track warehouse items to ensure availability
  • Analyze monthly warehouse item usage and restock
  • Follow-up and confirmation of orders
  • Research possible new vendors and make suggestions
  • Maintain customer files
  • Process new orders
  • Record and distribute customer order changes
  • Maintain an ongoing to do list of projects that can be done during slow times and constant update to keep priorities in the right order

CSR project responsibility:
  • Project status - where quotes stand from vendors and pricing from estimating
  • Working with suppliers
  • Confirming production specifications
  • Ensuring delivery date is known internally and followed


Job Requirements

CSR skill sets:
  • Excellent verbal and written communication skills including the ability to interpret whether a situation is looming that needs to be addressed before it becomes critical or potential sales opportunities that need to be followed up by sales
  • Basic math skills including the ability to add, subtract, multiply, divide in all units of measure and computer rates, ratios, percentages and calculate figures and amounts such as discounts, costs, proportions and volumes
  • Good organizational skills
  • Ability to fact finding to enable customers to be appropriately service and boxes ran correctly and efficiently
  • Strong follow up skills to keep things moving along
  • Ability to apply common sense in carrying out instructions in written, verbal and diagram form
  • Multitasking ability to solve various problems and deal with a variety of situations in which little detail or standardization exists
  • Ability to read and interpret documents such as sales reports, operating instructions, training and procedure manuals
  • Ability to write routing reports, correspondence and emails


CSR education/experience:
  • High school diploma or equivalent
  • Some college or technical coursework
  • 3-5 Years customer service experience in manufacturing environment required

Preferred candidates have:
  • Experience in manufacturing environment
  • Corrugated industry experience



Technical skills required:
  • Application knowledge of computer data entry
  • Understanding of Microsoft applications including Word, Excel and Outlook
  • Typing skills of 40 wpm or more
  • Strong basic math skills

Skills needed for advancement include:
  • Excellent customer service
  • Good understanding of corrugated manufacturing processes
  • Understanding of office procedures
  • Job-related math skills
  • Communication skills
  • Ability to make sound judgments
