Description

This position will support the Acute Care Sales Leaders and assist the overall administration of the Acute Care Sales department. This person must be able to work in a high paced work environment and have a professional demeanor. This position is located at the Corporate office in Mundelein, IL.

Duties to Include:
  • Scheduling for Clinical Services Team
    • Manage master schedule for team of 20 people making adjustments/rescheduling assignments when necessary to accommodate higher priority assignments
    • Work closely with Acute Care and Post Acute Care sales reps to ensure the customers’ needs are being met
  • Reporting for Clinical Services Team
    • Compile monthly logs from team to create reports, slides, graphs
      • Clinical Services Activity Log-Master
      • Clinical Services Tracking
      • Out of Region – Travel Costs
      • Clinical Activity Charts – monthly
  • Clinical Services Performance Surveys & Quizzes
    • Utilize Survey Monkey to send out surveys to reps
    • Compile survey results into reports and graphs
      • Clinical Services Survey Responses – All
      • Survey – Individual Scores
      • Survey Response Charts – monthly
    • Create monthly quizzes in Survey Monkey
    • Grade quizzes and enter into tracking spreadsheet
  • Procurement
    • Order new/replacement scrubs for Clinical Services team members
    • Facilitate sample orders for Clinical Services team when needed
    • Collaborate with product divisions to provide necessary resources to team
    • Order office supplies when needed
  • Basic administrative tasks
    • Update all Clinical Services documents and forms including New Hire packet, request form, monthly logs, etc.
    • Responsible for posting documents to Medline 360
    • Manage travel requests for Clinical Services team
    • Conference call set up
    • Send out documents/information as needed
    • Provide backup administrative support for Acute Care Sales executives
    • Process check requests and create purchases orders when needed for Acute Care Sales force

Qualification

Qualification:
• 5 years as an administrative assistant working with senior leaders
• Associate degree preferred
• Excellent verbal and communication skills, highly organized with the ability to meet multiple concurrent deadlines, be able to provide outstanding customer service and remain professional at all times, must be detail oriented and have the ability to multitask, strong computers skills, including, but not limited to: Outlook, Word, Excel and Power Point, must also be able to quickly learn.
