The Associate Business Ops Coordinator will be primarily responsible for supporting the administrative needs of the Clinical Support Service Team, which includes the Billing/Coding and Credentialing departments.  This includes providing administrative support for the Clinical Support Service Director of Operations, Sr. Coder, and Credentialing Manager as needed.  Perform all support duties and complete all projects as directed. Responsible for scheduling departmental meetings as assigned.  

 


Primary Responsibilities:


  • Schedule department meetings, assist in typing of meeting minutes, work with Facilities Department to setup/breakdown equipment for meetings, order lunch when needed, send out meeting reminders, send out meeting materials as needed.

  • Provide administrative support to the Clinical Support Team including daily phone calls, filing and correspondence

  • Prepare professional PowerPoint presentations; detailed Excel spreadsheets and specialized Visio documents as directed

  • Manage the department's correspondence, route all information to appropriate person.  (Including the incoming mail and faxes, distribute, file, follow up and respond as needed)

  • Ensure all urgent issues are routed and addressed in a time sensitive manner

  • Ensure all department invoices are properly signed by department manager and timely routed to Finance Department for processing including physician CME, licensure and approved expenses. 

  • Prepare all new vendor paperwork as needed.  Follow up with Finance for requested checks and EOB information.

  • Assist Operations Director with ongoing updates to the Policy and Procedure Manual

  • Maintain various phone lists ensure all updates and revisions are done in a timely manner

  • Other clerical duties as warranted

  • Regular and consistent attendance

Requirements

Required Qualifications:



  • High school diploma or GED

  • 1-2 years' experience handling information of a highly sensitive and confidential nature.  Strong working knowledge of MS Office products such as Outlook Word, Excel, PowerPoint, and Visio, able to type 50wpm.  Able to take direction from multiple sources and successfully self-prioritize deadlines.   

  • Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
