Group Event Sales Coordinator

ESSENTIAL DUTIES AND RESPONSIBILITIES: Primary duties and responsibilities include, but are not limited to the following.

  • Answers Sales Office phone and assists with group event inquiries in a friendly, courteous, and timely manner, using the appropriate greeting and providing knowledgeable, enthusiastic, and personalized service. Completes inquiry sheets and distributes as appropriate.
  • At the direction of the Sales Manager, maintains contact with clients via phone, e-mail or fax regarding event details.
  • Manages walk-in and internet prospects.
  • Writes customer letters and generate professional proposals.
  • Responsible for the booking, lane reservation and distribution of birthday packages (invitations, thank you cards, goodie bags). Confirms all birthday party details 72 hours prior.
  • Primary in-center resource for selling group events to SMERF customers. Responsible for booking lower volume SMERF (Social, Military, Education, Religious and Fraternal) business.
  • At the direction of the Sales Manager: compiles and organizes prospective customer leads; assists in maintaining database of birthday and other customers; works area trade shows and distributes materials at booth.
  • Enters client information into GroupSmart (sales management software tool) from outside calls, telemarketing, and inquiries. Reviews group event agreements and contacts clients to confirm all relevant details.
  • Organizes and prepares sales kits and correspondence for distribution to clients.
  • Maintains inventory of all office supplies, collateral, merchandise, audio visual equipment, linen, table decor and all other materials pertinent to the group event sales effort. Ensures that appropriate group sales information and collateral are on display at the center(s).
  • Assists with collecting and processing deposits for group events. Organizes and verifies accuracy of all zip tickets. Weekly transfers zip tickets to a folder with corresponding party agreements to maintain accurate records.
  • Creates lane reservation maps (with relevant event details) in back office. If applicable, maintains an accurate lane map book to help ensure revenue and occupancy maximization.
  • Prepares Event Resumes for all group events and distributes to respective department heads. Prepares 10-day group event forecasts and distributes accordingly. Prepares agenda for weekly BEO (Banquet Event Order) meetings with department heads.
  • Assists in developing and executing sales action plans. Confers and cooperates with Operations management to ensure coordination of center’s group events. Maintains daily log book for associates working events to coordinate efforts of sales and operations.
  • Investigates and resolves group event customer problems.
  • Must have the flexibility to work nights, weekends and holidays to coordinate events and promotions to assist with facilitating events onsite, handles last minute requests and changes, and ensures group events take place as contracted.
  • Other duties may be assigned.

QUALIFICATIONS: Group Event Sales Coordinators possess a highly developed sense of customer service and interpersonal skills including high integrity, respect for all individuals (customers, vendors, and employees), solid communication skills, strong critical and analytical thinking skills, and appreciation of diversity (thought, ethnic, gender, etc.).

Group Event Sales Coordinators must be strong team players with strong oral and written communication skills. Must have the ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.

EDUCATION AND/OR EXPERIENCE: High School Diploma or equivalent and one year of sales experience preferred. Proficiency with MS Office Suite and database software preferred. Relevant experience or equivalent combination of education and experience is also acceptable.

PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms. The employee must occasionally lift and/or move up to 50 pounds.

WORK ENVIRONMENT: While performing the duties of this job, the employee regularly works in a bowling center environment where high levels of noise, dust and activity can be expected. The noise level in the work environment is usually loud.
