Position Summary

The Staffing Vendor Manager will manage the day-to-day activities of staffing and vendor management of 3 rd party agencies for all marketing programs for our grocery and specialty business. Provide cost recommendations, scorecard reporting, contract negotiations, relationship management, staffing timelines, strategies to ensure all SLA’s are met for work requiring 3 rd party staffing.

Essential Job Duties and Responsibilities

Staffing & Scheduling
  • Manage daily activities of Staffing Coordinators to maximize scheduling and execution; analyzes and executes staffing strategies.
  • Interfaces with Operations Senior Management to ensure coordination of scheduling and maximization of system capabilities.
  • Ensures Workforce Planning Coordinators manage scheduling associates and agencies to active programs, notifying and escalating challenges and opportunities as needed; ensures communication of staffing changes to Workforce Planning Coordinators are provided in a timely and efficient manner.
  • Enacts contingency plans as needed; escalates and directs activities during systems problems, disasters, etc.; identifies potential problems, troubleshoots, escalates issues to management and client partners and participates in post-mortem analysis of problems providing input for future process improvements.
  • Reviews schedules and SLA’s by program to actively manage progress to communicate and fill schedules and handle exceptions.
  • Troubleshoots process and systems issues related to scheduling working with Shared Services teams.


Third Party Staffing and Specialty Talent
  • Manage third party agencies to enable business strategies; Provide oversight and support of Staffing Agency relationships, usage and requirements
  • Conduct Quarterly business reviews for all third party vendors related to Specialty hires and staffing.
  • Create service level agreements and metrics to measure agency success and implement sound practices for continuing or terminating agency relationships.
  • Negotiate hourly rates for staff and ensure quality of staff is given at the best price to ensure margin requirements are meant by program.
  • Ensure timely staffing reporting to Manager of Planning and Analytics to contribute to total staffing plan.


Process & Performance Management
  • Reviews ongoing performance results to targets. Takes corrective measures with authorization, escalate as needed.
  • Participates in daily, weekly, monthly and annual planning process as appropriate.
  • Actively manage and supervise team, coordinating with senior leaders to ensure all targets are met. Takes prompt corrective action where necessary or suggests alternative courses of action which may be taken.
  • Communicates areas of accountability and performance expected of personnel assigned. Determines standards of performance as a basis to review progress of personnel assigned.
  • Recommends salary adjustments, transfers, promotions and dismissals. Ensures proper training of personnel assigned. Develops individuals for future advancement
  • This position has authority to initiate actions and make decisions within established precedents or well-defined policy with minimal managerial direction and review
  • Make adjustments and optimize service quality to maximize our one-to-one consumer interactions; Work closely with business leaders (i.e. Systems, Field Execution, etc.) to maximize processes; Identify and attend approved trade exhibits, shows and regular company field programs to develop and maintain knowledge base; Identify gaps and best practices in planning operations to improve overall performance.

Hires, retains, trains, coaches, guides, directs, and develops direct reports using company-wide processes, tools and resources

May delegate work of others and provide guidance, direction and mentoring to indirect reports

Minimum QualificationsMinimum Qualifications

Education Level: (Required): High School Diploma or GED or equivalent experience



(Preferred): Associate's Degree or equivalent experience

Field of Study/Area of Experience: Operations Management, business management

3-5 years of previous experience in operations management or vendor management experience including staffing, scheduling and real-time operations management

Skills, Knowledge and Abilities
  • Experience managing, coaching and developing staff
  • Strategic thinking and process development skills
  • Strong interpersonal skills – ability to interact at varying management levels/client interface
  • Strong organizational and problem-solving skills
  • Excellent communication skills, both written and verbal
  • Empathy/understanding of the impact of planning operations on field associates
  • Technically proficient in workforce planning and scheduling tools, MS Office and data reporting systems.
  • Must be able to effectively handle multiple tasks and projects simultaneously
  • Team player with good people skills
  • Ability to manage and develop a team of 5 or more employees
  • Working knowledge of CPG and Events Industry preferred
  • Working knowledge of staffing agencies and experience with vendor management
  • Analytical skills a plus
  • Excellent interpersonal and communication skills
  • Works well with management, peers and direct reports
  • Must perform the job safely and utilize proper safety techniques and use of equipment when appropriate


Environmental & Physical Requirements

Office / Sedentary Requirements

Incumbent must be able to perform the essential functions of the job. Work is performed primarily in an office environment. Typically requires the ability to sit for extended periods of time (66%+ each day), ability to hear the telephone, ability to enter data on a computer and may also require the ability to lift up to 10 pounds.
