About this job
Essential Responsibilities:
Provides administrative office support to the field marketing team's publicists. Includes answering phones, scheduling meetings (both internal and external), organizing schedules, submitting expense reports, making travel arrangements, compiling documents, proofing, arranging couriers, shipping, and filing.
Recruits word-of-mouth and promotional screenings for all screenings in greater Los Angeles / Orange County area. Heavy cold calling and recruitment outreach required.
Handles several integral department reports. Includes compiling data from field agencies from across the country. Reports must be submitted in a timely manner. Requires extensive knowledge of Microsoft Office.
Handles regional theater rentals, print shipping, and security orders.
Handles department financial responsibilities including billing, invoicing, and payment of field agencies for each film. Works with Universal's finance and legal teams to assist in arrangement of contracts, invoicing, and payment for outside vendors.
Distributes trailers, print art, publicity photos, and online materials to field agencies and outside vendors as needed.
Manages a large volume of emails on a daily basis.
Some evening and weekend work is required for screenings, events, press junkets, costume character appearance, and premieres.
Additional duties upon request. Qualifications/Requirements Basic Qualifications:
Minimum 1 year administrative assistant experience in marketing/entertainment
Excellent written and verbal communication and attention to detail
Excellent meeting planning skills
Excellent phone demeanor
Minimum 2 years experience using Microsoft Word
Eligibility Requirements:

Must be covered by Solutions, NBCU's Alternative Dispute Resolution Program Desired Characteristics Bachelor Degree in Marketing or related field preferred
