Job Summary The Pediatric Nephrology Division is seeking a Full Time Administrative Assistant Intermediate, Healthcare to provide highly responsible and administrative support to the faculty, clinical operations and research staff. This position primarily serves all clinical and administrative staff within the Division of Neprhology. May occasionally assist the fellows or administrator as necessary.
Supervision is received from the Administrative Manager of Pediatric Nephrology, with direction from the faculty members within the division. Staff members in this classification are expected to work independently and regularly exercise judgment in setting priorities and completing work-related tasks.
Responsibilities* Preparing for clinic (schedule, collect records, scanning documentation, etc.)
Scheduling new patient and follow-up appointments
Scheduling patients for surgery and admission to inpatient units
Completing lab follow-up for clinic
Completing miscellaneous medical forms for patients and providers
Documenting prescription refills
Scheduling patient biopsies
Answering division phones, triaging and documenting messages
Making arrangements between the clinic and hospital for emergency care needs
Responding to, and making assessments of emergencies by notifying medical staff and emergency room, and referring emergent patients to the appropriate unit
Providing detailed explanations to patients of preparations for medical procedures
Responding to patient inquiries regarding clinic and insurance procedures and policies
Obtaining medical test results for physicians
Maintaining divisional databases/spreadsheets (Ambulatory Blood Pressure Monitor logs, Activity Cards, etc.)
Preparing and sending New Patient Packets
Routing dictations
Faxing documents to appropriate health affiliates
Maintain office manual with up-to-date processes and procedures for providing clinical support
Ordering office supplies
Other Administrative Activities as assigned
Required Qualifications* The qualified candidate will possess:
Associates Degree in business or an equivalent combination of education and experience
Experience with MiChart in a clinical setting
Excellent verbal, written and interpersonal skills with a strong customer focus, and an ability to interact with a wide variety of individuals
Excellent organizational, multi-tasking skills and an ability to work independently and to exercise judgment in setting priorities
Ability to compose and produce professional correspondence
Ability to summarize reports and proofread materials
Excellent attendance record
Desired Qualifications* Knowledge of University of Michigan policies and procedures
Expertise in Microsoft Word, Excel and PowerPoint
Experience with M-Pathways and CONCUR
Flexibility in work assignments
Ability to work independently or as a member of a team
Background Screening University of Michigan Health System conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.
