Legal Administrative Assistant needed for a contract opportunity with Yoh's client located in New York, NY
The Big Picture - Top Skills You Should Possess:
- Administrative Assistant with a minimum of 5 years' experience
- Bachelor's degree
- High proficiency in Microsoft Word, Excel, PowerPoint, Outlook and navigating the Internet for research purposes
- Experience in the labor relations field is a plus
- Law firm or media industry experience is strongly preferred
- Candidate must have ability to maintain a high level of confidentiality
What You'll Be Doing:
- Provide assistance and administrative support to the East Coast Labor Relations Department
- Handle heavy telephone contact with all levels of internal and external executives, union/guild representatives, production, and other employees in a professional manner
- Arrange and schedule numerous meetings (often in different divisions and time zones) at once; maintain and update calendar; demonstrate flexibility, patience and persistence in routinely rescheduling meetings and appointments
- Arrange complex logistics for multiple-attendee and multiple-location meetings (including negotiations, Telepresence, and slide presentation set-ups)
- Coordinate and handle extensive and complex travel arrangements
- Prepare expense reports and check requests, including Transportation and Expense approvals
- Prepare correspondence, including legal correspondence, for mailing/distribution
- Responsible for distribution of various memos and collective bargaining agreements to a wide list of recipients, including confidential reports and/or budgets to management committee executives
- Draft, type and proofread project reports, letters, memos, presentations, spreadsheets, legal memoranda/briefs and other documents
- Work with internet-based filing and docket systems, computerized legal research databases, and word processing applications
- File, fax, photocopy, and messenger business/legal correspondence and other documents
- Maintain and organize law library as well as hard copy and electronic case files
- Develop and maintain relationships with executives and assistants throughout the company, as well as senior members of other business units
What You Need to Bring to the Table:
- Candidate must be highly organized; detail oriented with superior verbal and written
- Proven ability to excel in a high volume, multi-task/deadline oriented executive office environment is essential
- Strong prioritization abilities and interpersonal skills are necessary
- Candidate should display an ability to work well under pressure and work in a team environment
