XTRAC Solutions is a cloud-based, workflow automation and document management platform developed and used by Fidelity for over 20 years. Used globally, it is a center for how many Fidelity companies and departments conducts business. With over 30,000 users executing more than 36 million work items annually, the product is now being introduced to the financial services commercial market.

The Senior Secretary works closely with the CMO, Marketing and Product Managers to assist with all administrative aspects of the 14-member department. The position also provides ancillary support to the President and, from time-to-time, other members within the broader team. To the degree that they are available, the position also owns and drives marketing-based projects. The ideal candidate has previous Fidelity experience, excels in PowerPoint and other Microsoft-based products.

Primary Responsibilities

Meeting and calendar coordination (including videoconferencing) across multiple geographies

Developing PowerPoint presentations

Managing XTRAC's SharePoint and ribbit site, including access & permission levels

Processing invoices, POs and allocating to the master budget

Assisting with conferences, events, Board meetings and other forums

Other admin duties such as, travel requirements, T&E processing, filing, supplies

Executing the annual client satisfaction survey

Managing and executing the marketing newsletter

Coordinating and providing input to the XTRAC holiday card

Driving select portions of the marketing agenda, to include campaigns, internal communications and our social media program (Linked)

Writing creative briefs and delivering content for promotional materials and videos

Maintaining the XTRAC brand book and iconography

Back-up President's executive secretary

Education and Experience

Minimum of 2 years administrative experience

Prior Fidelity experience preferred

Bachelor's degree (or equivalent work experience) preferred

Skills and Knowledge

Self-starter, able to work autonomously and within different geographical time zones

Able to build and maintain good relationships either in person or over the phone

Excellent written and verbal communications skills

Flexible; ability to work on multiple projects simultaneously and meet deadlines

Strong team oriented approach to getting work done. Results-driven.

Highly proficient in Power point, with strength in other Microsoft Office products and Excel

General technical aptitude preferred; willingness to learn new software applications
